This position is responsible for ensuring effective and accurate management of the Fort Worth Zoo's database, Bloomerang. The donor relations coordinator advances three strategic objectives: (1) ensuring accurate and timely gift entry and acknowledgment, in accordance with the Fort Worth Zoo's standard operating procedures, (2) maintaining the integrity of all entries to ensure that the database is a useful and accurate tool for both prospecting and reporting, (3) developing reports and data analyses that support growing sustainable, predictable revenue for the Zoo. In addition, this position supports the corporate relations manager with sponsorship prospecting and execution of sponsorship details.

  • Responsible for gift processing, including reviewing and recording gifts, assigning financial codes, understanding donor's intent, and data entry into the database. Ensure that gifts are accurately reflected in Bloomerang and tied to appropriate relationships, solicitations, etc.
  • Oversee acknowledgment process, including generating acknowledgment/tax letters, ensuring the accuracy of acknowledgment/tax receipt letters and timely distribution Ensure these are produced in compliance with IRS regulations and Fort Worth Zoo's policies and procedures
  • Run all queries, financial reports, and actions; manage segmented lists for mailings and major events; and import/export of data and bulk uploads
  • Develop and implement data integrity maintenance processes and oversee enhancement projects. Ensure accuracy with regular audits to remove duplicate records, update fields and delete inactive contacts
  • Coordinate closely with development staff to leverage Bloomerang functionality to manage tasks, generate reports, assess giving trends, and evaluate progress towards achieving revenue objectives
  • Stay up-to-date with the functionality of the database and serve as a resource to train other staff on database functions, the flow of information, processes for inputting, and overall database efficiency
  • Work closely with the finance and accounting department to reconcile revenue, assist with financial reporting, and conduct at least a monthly reconciliation review to ensure data integrity and accuracy
  • Remain up to date on IRS regulations regarding charitable giving and tax acknowledgements and ensure the Development team is adhering to those regulations
  • Continually streamline processes to simplify gift processing and acknowledgment and enhance the donor experience
  • Support and assist with donor stewardship events, Zoo special events, and after-hour functions, as needed
  • Assist the development director with donor communications and event invitations
  • Act as research specialist to identify grants for potential projects, Zoo programming, and general operations and potential donors for capital projects, annual fund and other donor groups
  • Assist corporate relations manager with research of DFW companies and contacts in the community
  • Work alongside corporate relations manager and special events manager in the identification and solicitation of potential sponsors and participants for Beastro, Zoo Run and Boo at the Zoo
  • Perform administrative tasks and provide other support to the development department
  • Compile packets/data/materials for meetings
  • Perform business-related errands, on occasion
  • Perform additional duties as assigned
  • Knowledge of fundraising accounting and best practices in all aspects of gift processing and acknowledgment and donor/database management, including IRS regulations
  • Proficiency in Microsoft Office products with advanced skills in Word and Excel, specifically Mail Exceptional organizational and analytical problem-solving skills as well as verbal and written communication skills
  • Ability to organize, multi-task, and effectively function in a fast-paced environment to set and achieve short- and long-term goals
  • Ability to establish priorities, navigate overlapping timelines, and meet deadlines

  • Minimum two years CRM/database administration or management experience; experience with Bloomerang preferred
  • Bachelor's degree from a four-year college or university in relevant field of discipline; or equivalent combination of education and experience
