About The Position

The Documents Administrator is responsible for tracking, maintaining, filing, retrieving, and updating documents and records for every department in the company.

Requirements

  • Applicants must be 18 years or older and be authorized to work in the U.S
  • High school graduate or equivalent.
  • Two year of previous related work experience required.
  • Must be highly organized and able to multi-task.
  • Ability to follow processes and procedures and take direction.
  • Proficiency in basic computer skills and familiar with Word
  • Ability to adjust to changing processes and priorities and willingness to take on new tasks as needed

Responsibilities

  • Track and log all inbound and outbound documents.
  • Verify the accuracy of all documents.
  • Sort incoming documents and ensure they are scanned, filed, and distributed properly.
  • Securely store original paper forms and enter information into digital storage system.
  • Retrieve materials for qualified personnel upon request.
  • Investigate information and documentation as needed.
  • Ensure document handling is compliant with state and federal regulations as well as internal policy.
  • Print, fold, and envelope outgoing letters.
  • Drop off/pick up daily mail from company PO Box and accept and sign for all FedEx, UPS, and certified mail.
  • Properly dispose of expired files in accordance with policy and legal requirements.
  • Other clerical/administrative duties as needed.
