About The Position

The Document Management Technician will support the U.S. Department of Justice in Los Angeles, CA, by performing clerical and receptionist duties. This role is essential for ensuring smooth office operations and effective communication within the department, contributing to the overall mission of the DOJ.

Requirements

  • Excellent written and oral communication skills.
  • Ability to perform detailed work consistently and accurately under pressure.
  • Must be able to read and follow instructions.
  • Understanding of task objectives and context in litigation support.
  • Initiative to ask questions for task completion.
  • Typing/keyboarding skills.
  • Knowledgeable user of Government's office and network environment, including word processing, database, spreadsheet, imaging, and telecommunications systems.
  • Ability to answer a multi-line phone system.
  • Must be a U.S. Citizen and able to obtain a Public Trust clearance.

Nice To Haves

  • Experience working in a Government and/or Litigation Support environment.
  • Experience as a Receptionist/Clerical.
  • Undergraduate degree.
  • Current or active clearance.

Responsibilities

  • Receives telephone calls and visitors to the office, controlling access and ensuring authorized entry.
  • Notifies staff members of visitors or incoming calls and takes messages when staff are unavailable.
  • Handles citizen complaints and directs callers or visitors to the appropriate agency, providing necessary forms.
  • Responds to inquiries and provides general information regarding office programs.
  • Receives legal documents and notifies the appropriate personnel of their receipt.
  • Organizes and maintains documents in prescribed binders.
  • Maintains an up-to-date telephone listing and files of addresses for departments and agencies.
  • Reserves conference rooms upon request.
  • Receives, reviews, and distributes incoming mail, including interoffice mail and service of process.
  • Submits interoffice orders for office supplies as needed.
  • Receives reports of malfunctioning equipment and follows up on repairs.
  • Indexes and maintains files in an orderly fashion, filing documents with the Clerk's Office as required.
  • Provides courier services to deliver legal documents to courthouses and agencies.
