Position Summary The Document Controller / SharePoint Administrator is responsible for managing controlled documents and records while supporting and administering SharePoint-based document management environments. This role ensures documents are accurate, compliant, accessible, and aligned with information governance standards across the organization. The ideal candidate combines strong document control fundamentals with hands-on SharePoint experience, supporting users, maintaining metadata and permissions, and improving document workflows.

Requirements

  • Bachelor’s degree or equivalent experience in Information Management, Business Administration, or a related field
  • 3+ years of experience in document control, records management, or information management
  • Hands-on experience supporting Microsoft SharePoint (Online and/or On-Premises)
  • Strong understanding of document lifecycle management and version control
  • Experience managing metadata, permissions, and controlled document libraries
  • Proficiency with Microsoft 365 (SharePoint, Teams, OneDrive, Outlook)
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities and deadlines
  • Clear written and verbal communication skills
  • Customer-service mindset when supporting internal users
  • Analytical and problem-solving abilities
  • Ability to translate governance requirements into practical solutions

Nice To Haves

  • Experience with regulated or compliance-driven environments
  • Knowledge of information governance frameworks and retention schedules
  • Familiarity with audit and compliance support
  • Experience with workflow automation (Power Automate or similar tools)
  • Certifications such as: AIIM Information Professional ARMA IGP (Information Governance Professional) Microsoft SharePoint or M365 certifications

Responsibilities

  • Manage the full lifecycle of controlled documents, including creation, review, approval, revision, distribution, and archival
  • Ensure compliance with internal procedures, regulatory requirements, and retention schedules
  • Maintain document registers, revision histories, and audit trails
  • Support internal and external audits by providing accurate and timely documentation
  • Enforce document naming conventions, version control, and metadata standards
  • Administer SharePoint sites, libraries, folders, and permissions
  • Configure and maintain metadata, content types, and document libraries
  • Support document workflows, approvals, and automated processes
  • Troubleshoot SharePoint access, versioning, and sync issues
  • Partner with IT and business teams on SharePoint enhancements and migrations
  • Apply information governance principles to digital and physical records
  • Support retention, defensible disposition, and records classification efforts
  • Assist with policy development and procedure updates related to document management
  • Promote best practices for document storage, collaboration, and security
  • Provide guidance and training to end users on SharePoint and document control procedures
  • Develop quick-reference guides and user documentation
  • Serve as a subject matter expert for document control and SharePoint usage
  • Collaborate with cross-functional teams to improve document workflows and efficiency
