About The Position

Perma-Pipe in Lebanon, TN is hiring an Document Control Coordinator to join our team! We’re looking for a dependable and motivated Document Control Coordinator who will be responsible for developing, maintaining, and overseeing the company’s documentation system in compliance with ISO standards. This role ensures that all quality management system (QMS) documents are properly controlled, updated, and accessible to authorized personnel. The Document Control Coordinator will also act as the trainer for all employees on quality documentation procedures, ensuring that staff understand and follow established processes. This is a hands-on role, serving as the sole point of accountability for documentation accuracy, compliance, and follow-up in the fabrication shop environment.

Requirements

  • Strong organizational skills with attention to detail and accuracy.
  • Ability to work independently as the sole owner of documentation processes.
  • Excellent written and verbal communication skills.
  • Proficiency with document control software, Microsoft Office Suite, and digital file management systems.
  • Ability to interact with all levels of staff, from production floor to management.
  • Strong work ethic with the ability to follow directions and prioritize tasks.
  • 2+ years of experience in document control within a manufacturing or fabrication environment.
  • Familiarity with ISO 9001 or equivalent quality management systems required.

  • Experience in training or conducting employee instruction preferred.

Responsibilities

  • Establish, maintain, and update the document control system in compliance with ISO standards.
  • Create, revise, issue, and archive controlled documents including SOPs, Work Instructions, Forms, Quality Records, and Policies.
  • Maintain master document lists and ensure the most current versions are available at points of use.
  • Ensure obsolete documents are removed from circulation and properly archived.
  • Monitor compliance with document control procedures during internal and external audits.
  • Track document revisions, approvals, and implementation timelines.
  • Ensure timely follow-up on outstanding documentation requests or corrections.
  • Coordinate with quality and production leadership to resolve documentation gaps.
  • Prepare reports for management on document status, compliance issues, and training effectiveness.
  • Develop and conduct training sessions for employees on quality documentation procedures and ISO compliance requirements.
  • Provide coaching to supervisors and employees on proper use and completion of controlled documents.
  • Serve as a subject matter expert for document management practices.
