About The Position

Schedule/Hours: M – F 8:30 a.m. – 4:30 p.m. (40 hours per week) This position is responsible for: Supervises Property Department personnel and oversees day to day operation of department activities. Ensures finalization of inventory control and reconciliation of spreadsheets for Territorial Headquarters. Acts as consultant and advisor to the Division on property acquisitions, donations, sales, construction projects and revisions. Assists Divisional Secretary for Business as the Divisional representative for meetings and training.

Requirements

  • Ability to prepare proposals in an accurate and timely manner.
  • Ability to read, interpret and enforce architect, construction, lease, and facility legal agreements.
  • Ability to reconcile accounts and prepare spreadsheets and other financial reports.
  • Ability to meet attendance requirements.
  • Ability to read, write, and communicate the English language.
  • Ability to keypunch information into a computer.
  • Ability to perform routine and complex mathematical computations repeatedly, rapidly and accurately.
  • Ability to operate and utilize computer systems to generate and record financial data.
  • Ability to work well under the pressure of deadlines.
  • Ability to follow instructions and work independently with limited supervision.
  • Ability to effectively and efficiently work on multiple projects at the same time without becoming frustrated or disorganized.
  • Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
  • Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time.
  • Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.

  • Bachelor’s degree from an accredited college or university in a related field; AND Five years progressively responsible experience in property and real estate management or a related field; OR Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Responsibilities

  • Property Proposals and associated documents for all DHQ and units' purchases, sales, donations, projects, renovations, remodeling, deletions of capital, listing agreements, deletions of capital, and others as appropriate, including, but not limited to, officer quarters sales and purchases
  • Represents the Divisional Secretary for Business at pre-schematic meetings, pre-construction meetings, inspections of all properties as mandated, attending substantial completion phases and working in cooperation with the Divisional Construction Superintendent for all projects, including, but not limited to, meetings with architects, contractors and product or vendor representatives.
  • Support DHQ and Field in application, processing, distribution and use of insurance reimbursement, tracking through Risk Management and assisting in insuring appropriate coverage.
  • Works in cooperation with various Territorial and Divisional Headquarters departments, including, but not limited to, Property, Finance, Legal and others as appropriate.
  • Property Requisitions and/or Furnishings and Equipment Requisitions when associated with a project or items requesting use, such as restricted funding sources.
