About The Position

The Divisional Chief of Staff (COS) is a critically important role, enabling the Chief Officers (executives) to work most effectively with and fulfill commitments to internal and external stakeholders. Responsible for assisting in the planning and coordination of activities across the division; these initiatives are strategic in nature, highly complex, and involve cross-functional teams. The Chief of Staff partners with executives, division leadership, and shared services to implement strategies through managing key activities, data and analytics, process excellence, business development, and communication. Advises, supports, assists, coordinates, and collaborates on strategic initiatives for the Chief Officers. Acts as a divisional liaison and raises issues and solutions based on feedback from other executive leadership and senior management. The COS represents their executives in meetings or situations where they cannot be present, providing updates and communicating the company's or division's position, while ensuring alignment with the executives' directives and seeking their input for critical decisions. This individual plays a pivotal role in supporting executives by prioritizing their workload, ensuring they are thoroughly briefed on all critical topics, and proactively preparing for key commitments. The role demands a blend of strong facilitation skills, business acumen, and strategic thinking, coupled with focus and flexibility. The ideal candidate must be adept at both visible and behind-the-scenes roles, seamlessly transitioning between them to ensure the executives' success.

Requirements

  • Bachelor's degree with 7+ years of relevant professional experience, including transferable skills and military experience.
  • Strong strategic and tactical thinking with excellent execution and change management skills.
  • Highly skilled in problem-solving, data collection, and drawing valid conclusions.
  • Proven ability to build trust and collaborative relationships with key stakeholders, including senior executives.
  • Experience managing and achieving results in a matrixed organization, excelling in influence, collaboration, and consensus building.
  • Highly accountable, self-motivated, and comfortable with ambiguity and tight timelines.
  • Excellent written and verbal communication skills, including being skilled in creating visionary, detailed presentations for executive leadership.
  • Analytical and detail-oriented, with the ability to leverage financial modeling and analysis for strategic decisions.

Responsibilities

  • Remove obstacles preventing leadership from focusing on strategic priorities.
  • Diagnose issues, coordinate necessary teams, and implement solutions to keep initiatives moving forward.
  • Lead planning activities to develop and manage the annual operating plan in collaboration with divisional leadership, shared services, and the enterprise strategy office.
  • Collaborate with business partners to develop working roadmaps with key actions, metrics, timelines, and accountabilities.
  • Translate the annual operating plan into required investments, informing the annual portfolio planning process.
  • Ensure product portfolios support the outcomes and goals set by the executive for the division.
  • Setup and facilitate divisional Business Reviews for the portfolio covering value delivered, future value, and financials.
  • Manage/liaise with leadership and appropriate resources to align and execute on key strategic and business development initiatives that support growth and profitability.
  • Oversee initiatives that don't have a clear owner within the division, ensuring collaboration between departments like product, sales, and operations.
  • Scope, plan, and execute multiple, often quick turnaround projects.
  • Work with appropriate stakeholders to facilitate and deliver required elements.
  • Develop and build on relationships with associates and external partners for increased efficiency and responsiveness.
  • Handle inquiries, develop action plans, and assist with the preparation and dissemination of communications to ensure smooth project execution and alignment with strategic goals.
  • Prepare follow-up correspondence for internal and external meetings.
  • Perform analysis of the annual operating plan, business performance, key initiatives, and business development opportunities, providing recommendations to address issues and gaps.
  • Partner with business intelligence teams and other divisional teams to understand and address needs to support day-to-day business and overall performance, including overseeing the development of key dashboards and reports.
  • Anticipate future trends, align operations to meet objectives, and identify areas for improvement.
