About The Position

The Division Director of Gynecologic Specialties provides strategic and operational leadership across a growing network of gynecologic specialty services, with a strong focus on operational excellence, access expansion, and patient-centered care delivery. This role partners closely with physicians, advanced practice providers, and practice leaders to ensure consistent, high-quality clinical operations across both academic and community-based settings. This position reports directly to the Department Director, OBGYN and is based at Tufts Medical Center. Job Profile Summary This role focuses on providing administrative and business support to the organization in order to achieve operational goals. In addition, this role focuses on performing the following Clinical Administration duties: Long-term strategic planning, determines strategic issues and opportunities that could affect practice success, prioritizes and tracks investments across practices, allocates resources and makes decisions regarding practice growth, and develops need to accomplish the practice's vision. A management role that supervises employees focusing on tactical, operational activities within a specified area, with the majority of time spent overseeing area of responsibility, planning, prioritizing and/or directing the responsibilities of employees. Goal achievement is typically accomplished through performance of direct and/or indirect reports. A role that manages experienced professionals who exercise latitude and independence in assignments. Responsibilities typically include: policy and strategy implementation for short-term results (1 year or less), problems faced are difficult to moderately complex, and influences others outside of own job area regarding policies, practices and procedures. Job Overview The Division Director has direct oversight of clinic operations at Tufts Medical Center and Woburn practice locations, including developing standardized workflows, staffing models, and clinic processes that enhance efficiency while maintaining exceptional patient experience. This includes aligning scheduling templates, staffing support, and cross-site coordination to ensure seamless care delivery regardless of practice location. A key responsibility includes optimizing the infrastructure necessary to support physicians who practice across multiple community locations. The role requires collaboration with community-based practices to strengthen integration, expand access to gynecologic specialty services, and support sustainable growth. With an overarching goal of streamlining the patient journey, the Division Director leads initiatives that improve access, reduce wait times, enhance care coordination, and standardize best practices across multiple community locations. This position drives continuous improvement efforts, fosters a culture of accountability and teamwork, and builds the clinic infrastructure necessary to support scalable, high-performing gynecologic specialty services. This position provides close support to a clinical subdivision and Chair/Chief in carrying out the annual business plan for assigned division and for the efficient management of all non-clinical aspects of the division. Manages the financial and administrative aspects of operations for hospital-based clinics to support the delivery of clinical services. Responsible for planning, organizing, staffing, controlling and evaluating the operations of assigned division.

Requirements

  • Bachelor's degree in Business Administration, Healthcare Administration, or a related field.
  • Five (5) years of progressive experience in operations, project management, and/or healthcare management. Experience should include managing multi-site or multi-specialty practice operations, including financial operations and analysis.
  • Knowledge of a clinical operations, both in an inpatient and outpatient setting.
  • Knowledge of specialized applications software for medical record, patient scheduling, and billing.
  • Ability to interpret financial data and effectively manage revenues and expenses according to budget.
  • Management, leadership, and interpersonal skills adequate for the effective management of clinic operations.

Nice To Haves

  • Master's degree in Business Administration, Healthcare Administration, or related field.
  • Seven (7) years of progressive experience in operations, project management, and/or healthcare management. Experience should include managing multi-site or multi-specialty practice operations, including financial operations and analysis.

Responsibilities

  • Develops, recommends, and monitors the operating budget for effective variance reporting and corrective action to ensure conformity with the budget.
  • Maintains appropriate financial/statistical performance data and produces meaningful reports to monitor, evaluate, and improve financial and operational performance.
  • In conjunction with leadership, provides analytical support to respective division.
  • Provides strategic and business planning for the division, including, but not limited to, new physician recruitment plans and new programs/affiliation business plans.
  • Directs the efficient and accurate capture of charge entry, patient information, billing support, and co-pay collection procedures for the billing of all physician services as well as hospital charges in clinic.
  • Maintains collaborative team relationships among subordinates, and with peers and colleagues to foster the group’s achievement of goals, and a positive work environment.
  • Develops and carries out cost containment strategies.
  • Develops and implements business plans for division to foster the achievement of established goals for market share, revenue, budget, and patient visits.
  • Fosters collaboration between physician practices and hospital business plans to support the achievement of common goals.
  • Develops, recommends and administers physician’s financial incentive programs to foster continual improvements in meeting established goals.
  • Recommends and administers activities to carry out the marketing plans for assigned division.
  • Participates in hospital-wide committees and projects that are focused on the creation, maintenance, and expansion of key relationships.
  • Participates in professional activities and maintains affiliations to keep abreast of trends/changes, regulations, and legislation in the field of health care planning and network development.
  • Ensures the efficient utilization and development of personnel resources through programs for effective orientation, selection, staffing and scheduling, training, development, and morale.
  • In collaboration with Human Resources, hires, motivates and supervises staff.
  • Ensures the fair administration of human resources programs and policies to include employee counseling and discipline.
  • Ensures compliance with JCAHO standards and other relevant regulatory requirements.
  • Responsible for ensuring adequate information technology resources for efficient departmental operations, including hardware, software, networking, and telecommunications upgrades.
  • Works closely with divisional and departmental site Clinical Practice Supervisors to oversee daily operations of the outpatient clinical area.
  • Reviews Patient Satisfaction Reports and looks for trend and improvements.
  • Works closely with hospital and nursing leadership to communicate, operationalize and enhance workflows.
  • Works collaboratively with professional attitude to all levels of leadership, staff, and the community.
