About The Position

The Division Coordinator for Hematology Oncology at Nemours Children's Hospital plays a crucial role in providing administrative support to the leadership team. This position is essential for ensuring the smooth operation of the division by managing schedules, coordinating meetings, and handling various administrative tasks. The coordinator acts as a central point of contact for departmental activities and represents the leadership in interactions with both internal and external stakeholders.

Requirements

  • High School Diploma required.
  • Associates Degree preferred.
  • Minimum of 3 years of experience in an administrative support role.

Responsibilities

  • Provide administrative support to Nemours leaders in the Hematology Oncology division.
  • Act as the central point of contact for departmental associates regarding departmental activities.
  • Respond to inquiries and represent the leader in dealings with internal and external contacts.
  • Maintain budget records and assist in financial tracking.
  • Set up meetings, including creating agendas and preparing correspondence.
  • Guide and process all aspects of clinical schedules for providers within the assigned divisions.
  • Build templates in the EPIC system and submit them to the enterprise templating team.
  • Complete and submit call schedules for all providers in assigned divisions.
  • Submit clinic cancellations, both planned and unplanned.
  • Coordinate surgical schedules with Outlook schedules.
  • Manage administrative leader's schedules with consideration to priorities and time efficiency.
  • Handle incoming calls courteously and provide assistance as needed.
  • Coordinate business travel arrangements for providers, including airline reservations and hotel bookings.
  • Prepare correspondence, reports, and presentations using Word, Excel, and PowerPoint.
  • Arrange new hire processing and facilitate the onboarding process for new hires.
  • Assist with master templates and clinic closures as needed.
  • Assist with training duties and other assigned tasks.
