About The Position

The Administrative Specialist in the District Clerk's Office of El Paso County is responsible for performing a variety of administrative and clerical tasks, including data entry, customer service, and financial transactions. This role serves as a point of contact for the public and other agencies, ensuring efficient communication and service delivery. The position requires a commitment to maintaining confidentiality and providing excellent customer service while supporting various departmental functions.

Requirements

  • High school diploma or equivalent.
  • Two years of office/secretarial experience with six months of cashier and/or customer service experience.
  • Ability to learn the organization and procedures of the County department.
  • Attention to detail and ability to meet established deadlines.
  • Proficient in word processing and data entry.
  • Ability to maintain confidential records and reports.
  • Effective communication skills, both orally and in writing.
  • Ability to perform routine calculations and prepare daily cash reports.
  • Bilingual in Spanish preferred; typing speed of 45 words per minute.

Nice To Haves

  • Knowledge of laws, state statutes, and regulations pertaining to the county department.
  • Experience with court systems and legal terminology.
  • Familiarity with cashiering and bookkeeping practices.

Responsibilities

  • Performs administrative and clerical tasks, including data entry.
  • Establishes and maintains files and records.
  • Serves as the initial point of contact for inquiries or complaints.
  • Researches information and makes appropriate referrals for assistance.
  • Gathers, organizes, and summarizes information for special projects.
  • Assists with preparing various reports, tables, graphs, and statistical summaries.
  • Trains on processes and maintains confidentiality.
  • Reports equipment maintenance needs for appropriate action.
  • Schedules document/record archive and disposal.
  • Substitutes during temporary absences to maintain continuity of operations.
  • Commits to providing excellent customer service and demonstrates commitment through teamwork.
  • Creates a high-quality work culture through training and mentoring.
  • Processes registrations and evaluates documentation.
  • Balances receipts with cash, credit cards, etc.
  • Handles large amounts of money and balances daily transactions.
  • Notarizes documents and provides information to the media and public.
  • Arranges and schedules meetings, prepares agendas, and takes notes.
  • Performs calendaring activities and coordinates special events.
  • Orders and maintains supplies and keeps inventories.
  • Makes travel arrangements and processes travel vouchers.
  • Performs case searches for customers and agencies as required.
  • Issues citations and verifies documents.
  • Assists with subpoenas and maintains updated lists.
  • Manages jail population by researching and screening court reports.
  • Operates switchboard and directs calls appropriately.
  • Translates as necessary and maintains HIPAA regulations.

Benefits

  • Full-time position with a salary of $37,391.90 per year.
