About The Position

The Distribution and Retention Deputy Clerk at Sacramento Superior Court is responsible for a variety of support services related to facilities, records retention, and mail services. This role involves the storage, retrieval, distribution, and destruction of Court case files and other records, as well as processing and delivering mail and supplies. The position requires maintaining confidentiality of Court records and performing various clerical and technical duties to support the Court's operations.

Requirements

  • Graduation from high school or GED equivalent, or completion of an Associate's Degree or higher.
  • One year of experience performing customer service, clerical duties, records-related functions, or warehousing duties.
  • Knowledge of basic filing and records management practices, safe driving practices, and Court procedures.
  • Ability to perform routine clerical work, coordinate mail, and operate vehicles and equipment safely.

Nice To Haves

  • Experience with imaging and microfilming processes.
  • Familiarity with case management systems and inventory tracking systems.

Responsibilities

  • Prepares records for imaging and operates electronic imaging systems to process documents.
  • Organizes records according to established protocols and enters data into management systems.
  • Assists Court staff with records-related requests by researching and retrieving files.
  • Receives incoming legal documents for retention and updates files accordingly.
  • Carries and moves file storage boxes using ladders and hand trucks.
  • Packs and loads files for transport between Court locations.
  • Under direction, purges and arranges for the destruction of documents and files.
  • Receives, sorts, and distributes mail and office supplies to designated locations.
  • Loads and unloads delivery vehicles, ensuring items are secured during transport.
  • Performs inspections of supplies and equipment upon delivery and verifies against packing slips.
  • Maintains inventory and record systems for received items.
  • Processes copy and print projects for Court-related documents.
  • Prepares and maintains a variety of records and reports related to assigned work.
  • Provides customer service to internal and external Court customers.
