The Dispatcher / Customer Service Representative plays a key role in coordinating service calls, supporting technicians in the field, and ensuring customers receive prompt and professional service. This role requires excellent communication skills, strong organization, and the ability to multitask in a high-volume service environment.
Requirements
- High School Diploma or GED
- Minimum 2 years of dispatching or customer service experience (service industry experience preferred)
- Strong communication and customer service skills
- Ability to multitask in a fast-paced service environment
- Quick problem-solving and decision-making ability
- Strong organization and prioritization skills
- Ability to self-manage and work proactively
- Professional communication with customers, technicians, and team members
- Strong Microsoft Office and computer skills
- Accurate data entry skills while speaking with customers
- Ability to read maps and provide directions to technicians
- Strong attention to detail and organization
- Ability to remain seated for extended periods (approximately 70% of the workday)
- Occasionally move within the office to access files and office equipment
- Ability to operate computers and standard office equipment

- Experience in HVAC, plumbing, or service dispatching is highly valued
Responsibilities
- Answer incoming customer service calls and process service requests
- Gather customer and job information accurately while speaking on the phone
- Enter service orders and maintain accurate records in the system
- Schedule and dispatch HVAC and plumbing technicians efficiently
- Coordinate technician schedules to maximize productivity and response time
- Communicate job details, directions, and updates to field technicians
- Confirm appointments and follow up with customers as needed
- Assist with next-day scheduling and technician routing
- Maintain accurate service reports and documentation
