About The Position

The Earth Observing Laboratory (EOL) at NCAR is seeking a highly motivated and skilled Administrative Assistant III to provide critical support to the EOL Director and their office. This is a dynamic role that requires a proactive, resourceful, and organized individual who thrives in a fast-paced environment.

Requirements

  • High school diploma or equivalent and a minimum of four years relevant experience; or a combination of education and experience.
  • Must possess a valid driver's license and be able to comply with UCAR's liability insurance requirements.

  • Experience in a scientific, technical, government or academic working environment.
  • Experience with Mac OS.
  • Proficiency in a foreign language.

Responsibilities

  • Provide administrative support to the Director and Directorate Staff.
  • Draft, edit, review, proofread and finalize correspondence for the Director and Directorate staff, including confidential items.
  • Coordinate, negotiate, maintain, and manage the Director's electronic calendar.
  • Make complex domestic and international travel arrangements for the Director and Directorate staff as required.
  • Assist the Director and Directorate staff with creating dynamic and informative presentations.
  • Serve as liaison with management in NCAR, UCAR, NSF, and other outside partners.
  • Help develop and manage Directorate office procedures.
  • Organize and manage documentation and recordkeeping (electronic and paper).
  • Post and update Directorate content for the web.
  • Develop and write office-wide communications.
  • Plan high-level meetings, workshops, and seminars, including travel, agendas, presentations, registration, refreshments, budget estimates, and monitoring expenditures.
  • Prepare and coordinate agendas for other meetings, take notes, and distribute materials as required.
  • Coordinate scientific promotions and other personnel items as directed.
