About The Position

A superlative Director of Residences based in Stamford, Connecticut is sought out for an exciting role based in a Family Office in Connecticut. The family has properties in Southampton, Manhattan, Greenwich, Puerto Rico, and Florida and this role involves oversight of all properties with the understanding that not all of them are completed yet. Many of the properties are under renovation or construction and each will be toggled out at being completed within the next 3 years or so. This role will involve the hiring and oversight of staff in each location as needed (I.E., housekeepers) as well as vendor management. The candidate to hire must be able to travel and be hands-on for what is required at the properties. Being experienced in oversight/management of properties and staff is important for this role as well as being flexible with scheduling. This role will involve a 24/7 mindset and being available as needed; flexibility and a helpful personalityis key for this role. The general hours can be expected to be between 50-60 a week. The Director of Residences will work out of the Family Office, and liaison between there, and other properties. The Director of Residences role is to ensure that they maintain their value, ensuring that the properties are meticulously maintained, all is in proper working order, and logistical operations are running smoothly. This role is a collaborative and hands-on position and will report directly to the principals. This role is live-out and no housing is provided; the client would like to find a local candidate first if possible, but expand the search only if needed. The role starts as soon as a great fit is found.

Requirements

  • Good management and leadership skills
  • Prior experience supporting UHNW families, particularly with oversight involving multiple residences
  • High level of discretion, professionalism, and emotional intelligence
  • Strong communication skills and the ability to anticipate needs
  • Keen attention to detail
  • Tech-savvy (Google Suite, MS Office, Adobe, home operation/automation software etc.)
  • Excellent written and verbal communication skills
  • Strong strategic and analytical mindset
  • Extremely organized and able to manage multiple complex projects
  • Able to lift up to 50 lbs.
  • Valid driver’s license and clean driving record
  • Discretion and confidentiality are non-negotiable (NDA required)

Nice To Haves

  • A proficiency both in property management (I.E., landscaping, HVAC, etc.) as well as hospitality (I.E., making sure the family has food in stock upon their arrival at one of the home locations they are arriving at) is desired for this role.
  • A construction background is welcome for this role.

Responsibilities

  • The candidate to hire will serve as the bridge between the owners and their properties. They are responsible for overseeing multiple properties and are the key that ensures that their properties meet the highest standards of excellence.
  • The candidate to hire will be pivotal in ensuring the financial stability and operational efficiency of the properties they oversee. They are the key to creating a seamless, harmonious operation across their diverse portfolio of properties. The Director of Residences must ensure that essential expenses are managed judiciously while unnecessary costs are curtailed to maintain financial equilibrium.
  • Contract negotiation, dealing with various service providers, contractors, and vendors. The candidate to hire must have a strong understanding of the market and good negotiation skills to secure a favorable contract on behalf of their principals. Nurturing and sustaining relationships with various contractors, ranging from handymen to landscapers. Building and maintaining these partnerships significantly contributes to the seamless operation and maintenance of the properties.
  • Representing the principals effectively. Functioning as the voice of the property owners, ensuring that their preferences and desires are conveyed effectively to the support staff and all relevant parties.
  • Additionally, when permitted by the principals, the Director of Residences is responsible for making critical decisions on their behalf. These decisions vary in range and complexity. It could be as simple as overseeing daily operations or as complex as authorizing major repairs and renovations. To execute this role effectively, they must possess the competence and judgmentnecessary for such crucial decision-making, safeguarding the principals’ interests and the property’s overall well-being.
  • Address any maintenance issues promptly; whether routine repairs or emergencies, the candidate to hire must be capable of handling anything.
  • Recordkeeping of the properties. From payment invoices to expense records, the candidate to hire must be diligent about keeping that information readily available. It is crucial information while filing tax reports or during audits.
  • Responsible for ensuring routine maintenance and repairs are carried out on time so that the properties remain in excellent condition. Apart from major repairs, for which they must consult with the principal owner, they are responsible for all minor and major upkeeps.
  • Ensure legal and regulatory compliance with local, state, and federal regulations and zoning ordinances. They must also oversee property insurance policies, ensuring adequate coverage to safeguard the property’s interests.
  • Strategically update, document, and own household systems (“Household Manual”), solving for ambiguity with step-by-step, self-initiated solutions.
  • Relieve the Principal of operational thinking, proactively communicating which tasks are being managed and delivering status updates without prompting.
  • Hiring and managing staff compensation.
  • Overseeing staff calendaring.
