About The Position

The Director of Program Operations provides comprehensive administrative and operational support to ensure the effective functioning of current and future Young Adult Supportive Housing programs. This role is responsible for maintaining efficient systems, supporting staff, coordinating program activities, and ensuring compliance with organizational and funder requirements. The Director of Program Operations will provide: Program Operations & Administrative Support Manage contract registration workflow in coordination with grant and contract management team Provide administrative support to the Program Leadership Teams and all program staff, ensuring the smooth and efficient functioning of daily operations Support overall program infrastructure, including HR-related systems and internal processes (e.g., CAPS, TMS, LOS, AWARDS) Assist with timecard management and related administrative tracking Troubleshoot and implement innovative solutions to administrative and operational challenges Support operational activities such as audits, work planning sessions, grant proposals, outreach efforts, and intake processes Assist with organizing and maintaining program leadership calendars to ensure that they are in sync Staff Support & Development Lead onboarding processes, including coordination with IT for proper system access and equipment setup for new hires (on-site and remote) Collaborate with program leadership to develop and implement onboarding and training schedules Assist in planning and implementing staff trainings, professional development activities, and department-wide events Promote staff engagement through both in-person and digital platforms Establish trainings for staff to support changes to SOPs and any additional professional development needed Support implementation and training for housing systems and IT initiatives (e.g., phone systems, databases) Program Coordination & Activities Receive referrals for tenant placement and schedule interviews for prospective tenants Coordinate monthly tenant meetings in collaboration with the Tenant Services Director Organize recreational, social, and educational activities including trips, celebrations, cultural events, and milestone events Coordinate health and wellness workshops with staff and community partners Track milestone deliverables Data Tracking, Reporting, & Compliance Track programmatic outcomes and funder-required milestones Prepare and submit reports to program leadership for review and submission to funding sources and the RiseBoro Board of Directors Ensure compliance with organizational policies, procedures, and reporting standards Track 1515 application submissions, revisions, and approvals Together with program leadership, develop and track departmental KPI’s Establish and maintain SOP manuals for all Young Adult programs Partnerships & Community Engagement Conduct outreach to establish and maintain partnerships with community stakeholders and service providers Collaborate with internal departments and external partners to enhance program services and outcomes Coordinate with the respective Directors at each program to ensure tenant assessments are utilized to identify and build partnerships aligned with tenant needs and goals Represent the program in internal and external initiatives that strengthen organizational impact Meetings with developers and contractors to ensure service delivery in all programs are at a high level Logistics, Supplies, & Financial Coordination Conduct periodic inventory of office and program supplies and place orders as needed Manage purchasing within the program’s budget, and coordinate with vendors to ensure timely delivery Oversee distribution of Metro Cards (Omni Cards), transportation passes, and mailing supplies Communications & Engagement Support the development and distribution of internal communications, including newsletter creation Ensure clear and consistent communication across teams, departments, and stakeholders
