Requirements

  • Proven experience in advanced administrative support roles, preferably at an executive level.
  • Exceptional multitasking and organizational skills.
  • Strong communication skills, both verbal and written, with excellent grammar and spelling.
  • Ability to maintain confidentiality and exercise discretion.
  • Experience in managing complex calendars and scheduling.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe.
  • Experience in event planning and coordination.
  • Ability to work collaboratively with various stakeholders and teams.

  • Experience in a financial services or banking environment.
  • Familiarity with Notary Public Commission and PACE Certification processes.

Responsibilities

  • Provide complex and proactive administrative support and oversee special projects as assigned.
  • Act as a gatekeeper for the Chairman's time, managing intricate scheduling requests.
  • Maintain the Chairman's calendar, scheduling meetings, appointments, and travel arrangements.
  • Organize complex meetings requiring video conference and in-person participation.
  • Identify areas for improvement and implement continuous enhancements.
  • Interface and coordinate with executive leadership and clients regarding duties and projects.
  • Coordinate meetings, events, and activities for the Chairman, including all-hands meetings and conferences.
  • Manage purchasing, expense, and workflow invoice procedures in collaboration with the Accounting department.
  • Organize executive outreach and external relations efforts, serving as a liaison for the Chairman.
  • Coordinate travel arrangements, including airline and hotel reservations.
  • Prepare for calls, team meetings, and external meetings, both in-person and virtual.
  • Assist in event planning, including venue negotiation and catering arrangements.
  • Create, edit, and proofread documents in various formats including Excel, Word, and PowerPoint.
  • Lead one-off projects and collaborate with the team to adapt to changing business demands.
  • Manage policies and procedures to ensure operational efficiency.
  • Enhance working relationships with directors and the Chairman.
  • Evaluate current business practices to improve efficiency.
  • Collaborate with executive management to support business development initiatives.
  • Maintain a Notary Public Commission and PACE Certification.
  • Assist in project planning and execution, fostering collaboration with stakeholders.
  • Help the Chairman develop presentations and white papers.
  • Advise the Chairman on time-sensitive issues and ensure follow-up.
  • Compose routine correspondence for the Chairman's signature.
  • Prepare documents for the monthly Board of Directors meeting and attend meetings to take notes.
  • Complete special projects, including creating organizational charts and financial spreadsheets.
  • Provide management and training for Executive Assistants across all companies owned by Community Bankshares Inc.
  • Assist in preparing information for quarterly shareholder memos and annual meetings.
  • Support internal and external marketing initiatives and campaigns, ensuring alignment with company objectives.
  • Coordinate with the Public Relations team and marketing agency for updates and scheduling needs.
