About The Position

The Director of Practice Operations Heart and Vascular provides ongoing leadership and operational oversight for multiple specialty clinics within Tanner Medical Group. This role is responsible for developing, implementing, and managing patient care systems that ensure efficient, cost-effective, and high-quality operations. The Director serves as a key advisor to Medical Group leadership on administrative and operational issues, as well as on matters that may affect provider performance or professional activities. As an integral member of the Medical Group management team, the Director collaborates with leaders across the organization to design and implement processes that enhance patient care, support employee and provider engagement, and promote the overall growth and quality of the Medical Group and health system.

Requirements

  • Master's Degree
  • Five years of related experience. Requires broad knowledge of complex systems and procedures.
  • Requires a minimum of 5 years of leadership experience in physician practice or clinical operations, with preference for candidates who have led specialty or multi-site practices, particularly in cardiology.
  • Exceptional organizational and project management skills. Demonstrated track record of delivering results and driving continuous improvement.
  • Exceptional communication skills with strong executive presence and ability to communicate with a variety of individuals in various job functions within and outside the organization.
  • Must be able to interpret and synthesize financial and operational data to support informed decision-making.
  • Ability to navigate complexities and, at times, ambiguities related to legal frameworks that influence operational decisions required.
  • Proven ability to manage competing priorities and allocate resources effectively across multiple team members and functions.
  • Proven ability to effectively work with others at all levels within and outside Tanner.

Nice To Haves

  • Familiarity with scheduling procedures, hospital outpatient imaging centers, or equivalently complex departments preferred.
  • Epic experience preferred.
  • CPT and ICD Knowledge preferred.
  • Experience in Joint Commission surveyable environment preferred.

  • Supervises front and back-office staff and ensures any contract staff adhere to equivalent standards.

  • Motivates team to take ownership for assigned areas of responsibility.
  • Ensures appropriate staffing levels for the practice.
  • Oversees orientation and ensures employees receive adequate training and ongoing education.
  • Provides ongoing employee feedback of job performance.
  • Performs employee evaluations.
  • Counsels and conducts employee disciplinary action as needed.
  • Monitors billing procedures in the practice to ensure patient registration and billing is accurate and performed in a timely manner.
  • Must be able to learn, apply and teach a variety of rules, regulations, policies and procedures applicable to the ever-changing health care reimbursement environment.
  • Understands, implements, and maintains compliance with regulatory requirements related to provider-based status as Hospital Outpatient Department.
  • Maintains strict control of internal cash control procedures.
  • Maintains and ensures accuracy of monthly key indicator reports.
  • Monitors monthly operations reports and provides explanation of variances.
  • Maintains an efficient filing system for patient records and assures all correspondence is filed correctly.
  • Oversees the purchasing functions for the practice.
  • Maintains a record of orders placed and orders received.
  • Closely monitors expenses and works within an established budget.
  • Receives invoices from vendors and checks for accuracy.
  • Organizes meetings and education activities of doctors and or staff as necessary.
  • Organizes and participates in TMG marketing opportunities for the practice.
  • Ensures general cleanliness and neatness of the practice.
  • Consults with TMG Administration regarding any problems and concerns and assists in implementing organizational changes.
  • Ensure compliance with all regulatory standards and accreditation requirements.
  • Develop and oversee quality assurance programs to measure clinical performance and outcomes.
  • Conduct regular audits and performance reviews, implementing corrective actions as needed.
  • Checks or designates personnel to check equipment routinely to ensure it is functioning properly.
  • Maintains working knowledge of equipment and removes faulty equipment from use as necessary.
  • Participates in safety programs.
  • Assures all Joint Commission standards are adhered to consistently.
  • Effectively partners with THS resources to support tracer activity and any other initiatives or programs related to Accreditation.
  • Maintains knowledge of CLIA requirements for Waived, Moderate and High Complexity testing and specimen processing, supports implementation of improvement items, and escalates as needed to assure CLIA requirements are met.
  • Assures Georgia Board of Pharmacy protocols are adhered to from a security and access perspective.
  • Engages with Tanner and contract pharmacy personnel as appropriate.
  • Maintains a high degree of knowledge of both Tanner Human Resource policies and procedures and TMG operational and billing policies and procedures.
  • Maintains high degree of knowledge of provider-based billing practices.
  • Participates in continuing education.
  • Participates in the development of new programs (ex: Process Improvement, Quality Initiatives).
  • Maintains a working knowledge of CPT, ICD9 and HCPCS coding.
  • Maintains a high degree of knowledge of Rural Health Clinics and their operation, when applicable.
  • Implements and maintains compliance with appropriate Provider-Based Attestation Statement.
  • Appropriately partners with and leverages resources for HB billing.
  • Assist in budget preparation and management for clinical services.
  • Analyze operational data to identify trends, areas for improvement, and cost-saving opportunities.
  • Foster effective communication and collaboration among clinical teams, administration, and stakeholders.
  • Act as a liaison between administrative and clinical staff and senior management, advocating for necessary resources and support.
  • Leads team members in achieving customer service goals for the practice.
  • Participates in customer service initiatives.
  • Demonstrates excellent customer service skills.
  • Communicates effectively and in a timely manner with patients and management regarding service recovery opportunities.
  • Monitors customer service and develops action plans for improving patient satisfaction.
