About The Position

Working under general direction, the director of data integrity is a pivotal role responsible for overseeing data strategies and data quality assurance through validation, diagnostics, and audits ensuring the accuracy, consistency, and usability of advancement-related data across systems in support of the university's fundraising, donor engagement, and stewardship goals. This position will play a critical role in maintaining the quality of constituent data in Constituent Relationship Management system (Ellucian CRM Advance) and other related data sources, both internal and external to the university. The incumbent will lead efforts to improve data hygiene, develop and enforce data standards and governance practices, and ensure that data integrity protocols are embedded across advancement operations. The director will work closely with Advancement Services leadership, development officers, and university partners to identify and resolve data quality issues, streamline data intake and maintenance processes, and enhance confidence in the use of advancement data. The director is a proactive and detail-oriented collaborator who leverages analytical thinking, data validation practices, and cross-functional coordination to support a data-informed culture across University Relations and Development.

Requirements

  • 5 or more years of professional experience in a related field, preferably within a sophisticated development or advancement operation. Demonstrated experience in data integrity, data governance, or records management is essential. Experience with data analytics and auditing. Prior work in advancement operations or fundraising analytics within a higher education or nonprofit setting is preferred. Familiarity with a constituent relationship management system is highly desirable.
  • Excellent interpersonal and communication skills; able to collaborate with cross-functional teams and stakeholders at all levels and translate technical concepts to non-technical audiences.
  • Strong organizational and time management abilities; capable of managing multiple projects and shifting priorities effectively.
  • Demonstrated experience with data governance, data standards, data cleansing, and maintaining accuracy in large relational databases.
  • High proficiency in Microsoft Office, especially Excel; ability to learn new systems and experience with both mainframe and web-based database applications.
  • Knowledge of data privacy regulations and standards (e.g., FERPA, CASE) and institutional data policies.
  • Ability to clearly, accurately, and concisely articulate complex ideas in writing and presentations.
  • Strong discretion and confidentiality in handling sensitive donor and financial information.
  • Skilled in writing reports, business correspondence, and procedural documentation.
  • Proficient in using virtual meeting platforms such as Zoom.

Responsibilities

  • Maintain and audit data integrity. Lead the development and implementation of policies and procedures as it relates to the integrity, accuracy, and consistency of data in the CRM system related data sources. Conduct routine audits to identify and resolve data anomalies including duplicates, outdated records, or missing information. Proactively monitor data inputs for adherence to established data standards and business rules. Liaise with colleagues in Advancement Services, Alumni Relations, and Development to ensure data integrity is prioritized and consistently executed across all systems and teams.
  • Formulate data governance strategies, administer policies processes and resources. Establish and enforce data governance protocols to support the strategic use of advancement data. Collaborate with other Advancement Services team members in the maintenance of documentation related to data definitions, processes, and standard operating procedures. Participate in Advancement Services and university-wide committees to help shape cross-functional data policies. Collaborate with Advancement technical staff and university data partners to ensure alignment with institutional data management standards. Evaluate new data sources, data loads, and third-party data enrichment services for compatibility with current systems and goals.
  • Drive enterprise-wide collaboration and informed decision-making by implementing robust data sharing and reporting frameworks. Partner with internal stakeholders to support data access, usage, and reporting needs, ensuring that shared data meets quality standards. Facilitate the intake and export of data for external vendors and data append partners, maintaining clear protocols for file sharing, permissioning, and documentation. Collaborate with the Advancement Reporting and Business Intelligence teams to support data-informed decision-making and ensure data hygiene in dashboards and analytic products. Assist in creating custom queries or extracts as needed to support university fundraising, engagement, and stewardship efforts.
  • Strengthen workforce capabilities and system adoption by delivering targeted training, comprehensive documentation, and responsive user support. In collaboration with appropriate Advancement Services team members, create and maintain documentation and training materials related to data integrity processes, system protocols, and biographical data standards. Support onboarding and ongoing education by guidance to Advancement staff on proper data entry practices and usage of constituent data. Serve as a subject matter expert for data maintenance functionality in the CRM system and provide expert-level support for questions related to constituent records. Work closely with colleagues across Advancement Services to ensure alignment of training content, consistency in data protocols, and continuity of support services. Stay informed of emerging trends and best practices in data integrity and governance. Seek professional development opportunities to maintain expertise in higher education advancement systems and data quality practices. Review, scope, prioritize, and assign work to the program manager of advancement technology training and support as well as provide training, support, and mentorship.
