About The Position

The Director of Bookkeeping and Administration is a leadership position responsible for ensuring the accuracy, timeliness, and consistency of financial records for over 20 diverse clients. This role demands a unique blend of high-level technical expertise, analytical skill, and strong people leadership. The Director is instrumental in maintaining the integrity of our financial data, which directly informs our CFO analysis and client strategy.

Requirements

  • 7+ years of progressive experience in bookkeeping, accounting, or financial management, with at least 3 years in a leadership/management role.
  • Expert-level proficiency in QuickBooks Online (QBO) is non-negotiable; experience with other platforms (e.g., Xero) is a plus.
  • Advanced Microsoft Excel skills, including VLOOKUPs, Pivot Tables, and building analytical models (e.g., COGS schedules).
  • Demonstrated ability to manage and close a high volume of client books on a tight deadline.
  • Exceptional written and verbal communication skills, with a proven ability to interact efficiently and professionally with clients and internal staff.

Nice To Haves

  • Experience within an outsourced accounting, fractional CFO, or public accounting firm.
  • Bachelor's degree in Accounting, Finance, or a related field.
  • QBO ProAdvisor Certification.

Responsibilities

  • Manage Client Bookkeeping Portfolio: Oversee the month-end close process for 20+ clients across multiple industries, ensuring all books are closed with high accuracy by the 10th of each month.
  • Serve as the internal expert for QuickBooks Online (QBO), providing technical support and guidance to the team. Maintain proficiency in other systems like Xero.
  • Utilize Microsoft Excel proficiently for complex financial calculations, including Cost of Goods Sold (COGS), sales analysis, and advanced reconciliation of various accounts.
  • Implement and enforce rigorous quality control measures and standardized processes to guarantee the delivery of accurate, GAAP-compliant financials that are ready for immediate CFO analysis.
  • Lead, mentor, and manage a small team of Bookkeepers and Administrative staff.
  • Act as the first point of contact for the team, providing technical, analytical, and emotional support to ensure team well-being and problem resolution.
  • Conduct regular performance reviews and provide continuous training to foster team growth and maintain a high standard of work.
  • Serve as a client-facing leader, managing relationships and communicating complex financial topics in a professional, clear, and efficient manner.
  • Ensure all administrative deadlines (compliance, reporting, vendor/AP/AR processes) are met with accuracy and speed.
  • Maintain high self-motivation and organizational discipline to thrive in a fully remote, independent work environment while ensuring strong collaboration with the executive team.
