About The Position

Keene State College's Advancement and Alumni Relations team seeks an experienced Director of Advancement Services to lead the Advancement Services team of staff, students and consultants in the support of the Advancement division. This includes the donor/alumni database, gift processing, fund creation/management, financial reports and reconciliations, and demographics. This is a full-time benefitted position with a high level of independent decision-making this position non-reliant upon daily or immediate supervision. Leads the Advancement Services team of staff, students and consultants in the support of the Advancement division and campus with a high level of independent decision-making this position non-reliant upon daily or immediate supervision. This includes the donor/alumni database, gift processing, fund creation/management, financial reports and reconciliations, and demographics. Other duties as assigned. All staff positions on campus support students and will be involved in student-focused activities.

Requirements

  • Five to seven years experience as a Customer Relational Database administrator.
  • Bachelor’s degree, or in lieu of a degree six years of professional work experience in data management on a CRM system.
  • Three years of professional data management and systems experience.
  • Organization and project management skills including the ability to help set and meet deadlines and strong command of Microsoft office applications.
  • Technical understanding of constituent relationship management software systems.
  • Three years experience in Advancement Services or gift processing.
  • Knowledge of data privacy and protection standards (PCI, CASE).
  • Detail oriented with ability to work independently with multiple priorities and deadline.
  • Proven ability to effectively manage multiple projects with a high degree of accuracy in an environment subject to frequent interruptions and changes in priorities.
  • Supervisory experience.

Nice To Haves

  • Experience in Raiser’s Edge preferred.
  • Four years in development with Advancement Services experience preferred.

Responsibilities

  • Sole administrator and system manager for the college Donor/Alumni database of 100,000 records.
  • Manage the performance, integrity and security of database including mapping, design, policies & procedures.
  • Liaison with consultants and outside vendors as needed for integrated services.
  • Daily support of all users, working directly with vendors and hosting environment when needed to resolve issues.
  • Oversee the development and updating of policies and procedures ensuring best practices in data management, including confidentiality of records and standards set by CASE and Best Practice.
  • Conduct complex data imports to transfer donor and gift information between multiple databases.
  • Work with annual fund team to develop, implement and evaluate direct mail programs and appeals.
  • Provide exports and reports.
  • Determine, prioritize, assign and oversee work and projects for the Advancement Services team.
  • Authorize to hire, conduct performance reviews, handle disciplinary actions, structure and assign work, provide direction and support of staff.
  • Responsible for management of gift processing and oversees multiple processing streams from receipt through acknowledgment.
  • Responsible for and oversee monthly fund and account reconciliations and reports.
  • Oversee the development and updating of gift management policies, procedures while adhering to IRS, USNH, Donor Bill of Rights, CASE and Best Practice.
  • Working closely with the Fund Stewardship Assistant, responsible for and oversees the creation, stewardship, distributions, donor/campus/Financial Aid support and auditing of over 650 active Gift Funds.
  • Manage oversight of demographics including the updating of constituent records from multiple channels.
  • Identify and structure integrity projects.
  • Oversee demographic and management process.
  • Responsible for management of the flow and quality of work; supervision of staff, analyzing the current work, and creating and managing a plan to assure quality stewardship.
  • Oversee data integrity and constituent services operations.
