About The Position

The Director of Administrative Services will ensure the efficient and effective daily operations of administrative services, from managing staff, assisting with sliding fee policy, to overall facility operations.

Requirements

  • Combination of education/experience normally represented by a Bachelor’s Degree in Business, Finance, or other related experience.
  • 2-4 years of prior hands-on experience and at least 5 years within a management/customer service position in a medical and/or dental office or practice, preferably a Federally Qualified Health Center.
  • Must have strong skills using Microsoft Office products.
  • Able to effectively and professionally manage multiple priorities and adapt to change within a fast-paced environment.
  • Must be able to read, write, speak, and communicate friendly and effectively in the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must have excellent listening skills and the ability to ask probing questions.
  • Must have reliable transportation.
  • Bloodborne Pathogens Exposure: Category I

Responsibilities

  • Attends Senior Leadership Team meetings and collaborates with other members.
  • Maintain the compliance policies, procedures, objectives, and mission of Centerpoint Health.
  • Facilities Management: Oversee all location leases, collaborates with Landlord, and establishes a good working relationship to manage, assist, and negotiate terms.
  • Oversee Centerpoint’s Insurance plans which include, third-party liability, EPLI, Director’s and Officers Liability coverage, Fiduciary Liability, Cyber, Crime, Medical FTCA Gap liability, and overall general liability. Understand terms, renewals, and best pricing.
  • Coordinate any repairs and maintenance that needs completed at the various sites.
  • Quarterly Risk Assessment check lists as it pertains to facilities.
  • Manage the storage unit.
  • Staff and supervise front office operations at all medical locations and arrange scheduling for office support.
  • Assist in interviewing and training, maintaining timely and accurate training checklists for each new hire as well as each tenured team members.
  • Ensure all employees follow the Handbook concerning expectations such as attendance and performance, manage employee PT, and staff time in Paycor.
  • Assist in driving production, revenue, and collection to achieve daily, monthly, and annual goals by overseeing scheduling of patients.
  • Ensure all provider schedules are filled to capacity to maximize office productivity.
  • Use all available reporting to aid in the building of your daily schedule and patient follow-up/communication.
  • Assist in resolving patient concerns and negative reviews in a professional and timely manner.
  • Ensure patient payments are posted or refers to billing company as appropriate.
  • Must stay up to date on all federal sliding fee discounts, policies, and HRSA guidelines.
  • Assures staff are kept up to date on all changes concerning sliding fee practices.
  • Assist with other administrative and financial duties, as needed.
  • Coordinate and assist with time and effort tracking forms.
  • Organize and streamline files for ease of access and traceability.
  • Act as the central liaison between IT Vendor and CPH, providing support and oversight.
  • Assist with overall management of the phone system, working with vendor on issues, concerns, and coordinate IT assistance, when needed.
  • Additional duties may be assigned as needed.
