About The Position

The Director of Administration provides senior-level administrative leadership, analysis, recommendations, and project management support in alignment with NANA’s corporate initiatives. This role coordinates executive-level support to the senior management, and supervises the Kotzebue Sr. Executive Assistant team, and partners closely with cross-functional leaders to ensure efficient, consistent administrative operations. This position reports to the Sr. Director of Administration and works collaboratively across departments, regions, and entities to support organizational priorities, governance activities, and service delivery.

Requirements

  • Must be a NANA Shareholder.
  • Minimum of ten years’ experience in administration functions, with emphasis in project management, event and meeting planning.
  • At least five (5) years of supervisory experience.
  • Advanced computer skills in Microsoft Products (Word, Excel, PowerPoint and Outlook)
  • Ability to prepare budget and estimates.
  • Valid Driver’s license with an acceptable driving record to be eligible under NANA’s vehicle insurance policy.

Nice To Haves

  • Associate’s degree in business management is preferred but not required.
  • Preference will be given to those candidates with a working knowledge of, and experience with NANA’S various organizations.

  • Oversee the front desk function and supervise the Kotzebue Sr. Executive Assistant team and subordinates. Fosters a welcoming, professional, and service‑oriented environment for colleagues and guests.
  • Coordinates closely with Anchorage-based administrative functions, Regional Shareholder Relations, and Communications to strengthen service delivery and ensure alignment across locations.
  • Collaborates across departments to support office operations, facilities coordination, and workspace needs. May assist department services with varying levels of support.
  • Partners with administrative professionals on departmental projects and cross-functional initiatives.
  • Maintains positive, effective working relationships with Board members, leadership, employees, and internal partners.
  • Assists with administrative budget development, preparation, and monitoring in alignment with corporate initiatives.
  • Collaborates with Finance leadership on expense oversight, purchasing, and resource allocation.
  • Provides data, analysis, and reporting to support planning and decision-making.
  • Partners with Facilities and Safety leadership to support workplace safety initiatives and compliance efforts.
  • Assists with maintaining organizational compliance with applicable federal, state, and local regulations.
  • May serve as a designated administrative representative for regional emergency preparedness, disaster planning, or continuity-of-operations efforts.
  • Supports leadership planning for temporary office closures and continuation of essential services.
  • Leads or collaborates with other departments to plan, coordinate, and support corporate meetings, events, and activities.
  • Assists with coordination of support for Board-related logistics in partnership with the board support team.
  • May coordinate logistics such as travel, ground transportation, and administrative staffing for meetings, regional trips, or corporate events.
  • Works with senior management and executive assistants to maintain and update the Director’s Desk or regional calendars of activities.
  • Collaborates in planning employee engagement activities such as annual service awards, all-staff meetings, and employee events.
  • Coordinates, leads, or participates in corporate initiatives and continuous improvement projects as assigned.
  • Supports collaboration with external organizations and entities on initiatives that respond to regional, community, or organizational needs.
  • Performs additional duties assigned in support of organizational success.
  • Promotes a positive and professional work environment, with emphasis on supporting departments with shareholder engagement and the delivery of services.
  • Works with staff on personal and professional development goals.
  • Working with human resources or the NANA Works program to develop internships, may assist with or refer participants for shareholder development, advancement & leadership development programs.
