About The Position

The Director of Administrative Services oversees the company’s administrative, operational support, and internal service functions across all retail and grocery locations. This role ensures efficient back-office operations, consistent administrative processes, and regulatory readiness while supporting store leadership and executive management. The Director serves as a central point of coordination for administrative systems that keep multi-location operations running smoothly.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • 7+ years of progressive experience in administrative operations, office management, or business support functions.
  • Experience supporting multi-location retail or grocery operations.
  • Strong organizational and process management skills.
  • Excellent attention to detail and documentation practices.
  • Effective communication and problem-solving abilities.
  • Ability to manage multiple priorities in a fast-paced retail environment.
  • Proficiency in office systems, reporting tools, and documentation management.

Responsibilities

  • Lead and manage all administrative functions supporting retail and grocery operations.
  • Establish standardized administrative processes across all locations to ensure consistency and efficiency.
  • Oversee office operations, records management, document control, and administrative workflows.
  • Serve as a resource for store managers regarding administrative procedures and requirements.
  • Coordinate business licenses, permits, renewals, and required documentation for all locations.
  • Track compliance-related deadlines and inspections in partnership with compliance and operations teams.
  • Maintain accurate records to ensure regulatory readiness at all times.
  • Support new store openings, remodels, and relocations with required administrative filings and approvals.
  • Administer insurance programs including general liability, workers’ compensation, and property coverage.
  • Coordinate claims reporting, documentation, and communication with insurance carriers and brokers.
  • Maintain insurance certificates, policy records, and renewals.
  • Partner with risk management and HR to ensure timely and accurate incident documentation.
  • Manage administrative aspects of vendor relationships, contracts, and service agreements.
  • Ensure contracts, W-9s, certificates of insurance, and related documentation are properly maintained.
  • Support accounts payable and finance teams with accurate vendor records.
  • Develop, document, and maintain administrative policies and procedures.
  • Identify opportunities to improve efficiency, reduce redundancy, and streamline workflows.
  • Support system implementations and administrative process improvements.
  • Lead and support administrative staff.
  • Collaborate with operations, finance, HR, compliance, and loss prevention teams.
  • Provide administrative reporting and updates to executive leadership.
