About The Position

The Director, Finance, & Administration is a member of the leadership team, strategic thought-partner, who oversees and ensures accurate and timely preparation/release of financial statements and strategy analysis reporting to the Chief Operating Officer (COO). The Director is a hands-on and participative manager who will perform all accounting functions, assist in the creation of and adherence to internal controls, risk mitigation, and manages systems to report financial information to internal and external stakeholders. This individual will lead and develop an internal team to support the following areas: Finance, Business Planning and Budgeting. The position also serves as a liaison to Simon Corporate areas of Human Resources, Administration, and Information Technology. As a proven influencer, the successful candidate will possess exceptional communication skills playing a critical role in collaborating with the senior leadership team in strategic decision-making and operations as Simon Youth Foundation continues to enhance its quality programming, build capacity, and sustainable long-term impact. The Director also supports the work of the Board of Directors through engagement with the Treasurer and Finance and Investment Committees.

Requirements

  • Bachelor’s Degree in Accounting
  • Minimum five years progressive experience; including minimum six years of broad financial and operations and team management at a nonprofit organization.
  • Proven experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has preferably overseen a human resources function previously.

Nice To Haves

  • Master of Business Administration, preferred.
  • Experience as Chief Financial Officer or Controller role at a nonprofit organization preferred.

Responsibilities

  • Create, analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program, endowment and grants accounting.
  • Own the organization-wide finance strategy for grants, build budgets in collaboration with senior leadership, financial tracking, including program income and match requirements.
  • Review, approve, and submit all grant invoices; verify allowability and allocations; track drawdowns and resolve exceptions.
  • Produce reconciled grant financials and dashboards; complete timely closeouts with accurate final reports.
  • Oversee and lead the annual audit and Federal tax process, liaise with external auditors and the Treasurer and Finance Committee and Investment Committee, and Board of Directors; assess any changes necessary.
  • Manage organizational cash flow, reserve strategies, and forecasting/re-forecasting, and banking relationships, while providing timely and accurate financial reports.
  • Direct or participate in negotiations for new and renewal agreements.
  • Implement a robust contracts management and financial management/ reporting system; ensure proscribed contract billing and collection schedule and that financial data and cash flow are steady and support operational requirements.
  • Oversee and lead the annual update cycle, implementation, and monitor all necessary business policies and accounting practices; improve Simon Youth Foundation’s overall policy and procedure database.
  • Communicate critical financial matters to the senior leadership team, Foundation staff, Treasurer and Finance Committee and Investment Committee, and Board of Directors.
  • Complete activities posting and reconciliation for lockbox, bank accounts, endowments, Blackbaud RE, accounts receivable, scholarship administrator, prepaid expenses, fixed assets.
  • Support 990 preparation and other regulatory filings as applicable.
  • Oversee and lead annual budgeting and re-forecasting cycles across all departments with effective communication. in conjunction with the CEO.
  • Administer and review all financial plans and budgets working with internal and external stack holders.
  • Monitor actuals vs. budget across all departments, events, and grants; support leaders with financial analysis and decision-making.
  • Report on the Foundation’s financial status to the senior leadership team, Treasurer, Finance Committee and Investment Committee, and Board of Directors.
  • Develop and lead annual financial training to foster financial understanding, budgeting process improvement and accountability for Foundation staff.
  • Oversee and manage department compliance regarding data, information and record management.
  • Establish a vision for areas of responsibility, identify key challenges, and deliver targeted recommendations and outcomes.
  • Work closely and transparently with all external partners including third-party vendors and consultants.
  • Oversee administrative functions as well as facilities to ensure efficient and consistent operation as the organization scales.
  • Strive for constant improvement of quality of all internal and external processes in order increase the Foundation’s efficiency and efficacy.
  • Negotiate issues related to academy closures and transfer of assets.
  • Reconcile variances between the General Ledger and the Donor Database.
  • Reconcile variances between the General Ledger, Bank Accounts and Investment Accounts.
  • Oversee investment of the organization’s endowment assets in accordance with policy execution, with oversight of the Treasurer and Finance and Investment Committees.
  • Manage academy build-out projects to budget, collaborate with internal and external event owners to develop and manage to budget.
  • Ability to make administrative and procedural decisions and judgements on sensitive confidential matters.
  • Act as liaison to Simon’s Information Services department for all technology issues.
  • The Director, Finance & Administration may serve as counsel for other senior leaders enacting disciplinary actions for their subordinate staff.
  • The Director, Finance & Administration must stay current with nonprofit finance regulations and audit standards; formulates and updates policies to ensure the compliance with Federal and State regulations, including GAAP in order to ensure the Foundation’s status as a 501(c) 3 organization.
  • The Director, Finance & Administration coordinates the signatory and compliance protocols for the organization.
  • Assist Foundation staff with projects that may be outside of typical Finance and Administration duties.
  • Maintain commitment to professional ethics.
  • Maintain enthusiasm for the SYF’s mission.
  • Represent the President & CEO in internal and external meetings.
  • Additional duties as assigned.
