About The Position

The Diagnostic Imaging Unit Coordinator provides strategic oversight and day-to-day management of systemwide staffing operations across all imaging modalities, including X-ray, CT, MRI, Ultrasound, Mammography, and Nuclear Medicine. This role ensures continuous operational coverage, manages technologist assignments across multiple campuses, and collaborates closely with modality leads, registry vendors, and clinical leaders to optimize workflow efficiency, compliance, and patient-centered care. The Unit Coordinator plays a critical role in supporting departmental operations during staffing challenges and surge events, while also driving standardization of scheduling processes and staffing models. In addition to daily operational leadership, the Unit Coordinator contributes to department-wide performance improvement efforts, strategic planning, and regulatory readiness initiatives. Strong project management skills are essential, and Project Management Professional (PMP) and/or Lean Six Sigma certification (Green Belt or higher) is strongly preferred to support the design and execution of initiatives aimed at improving staffing efficiency, minimizing waste, and enhancing patient throughput across campuses. This role reports directly to the Imaging System Director and serves as a key liaison between front-line teams and executive leadership.

Requirements

• Bachelor's degree in healthcare administration, Business Administration, or related field required.
• Minimum of five (5) years of healthcare or hospital-based experience in operations, workforce management, or staffing coordination.

Responsibilities

• Lead the development and maintenance of monthly staffing schedules for X-ray and CT technologists.
• Support scheduling coordination for MRI, Ultrasound, Mammography, and Nuclear Medicine.
• Maintain equitable distribution of shifts, including weekends, holidays, and call rotations.
• Coordinates backfill processes for unplanned absences, including call-offs and leaves of absence, using internal staff or registry coverage.
• Monitor and track staff attendance and punctuality across campuses.
• Review and submit timesheets, manage pay amendments, and prepare attendance reports via UKG or designated payroll systems.
• Audit attendance trends to identify patterns of absenteeism or tardiness and coordinate with leadership for follow-up.
• Support attendance-related coaching, progressive discipline, and corrective action planning.
• Manage all aspects of registry and traveler staffing, including onboarding, timecard reconciliation, rate management, and vendor contract compliance.
• Provide performance feedback and assignment updates to vendors and agency representatives.
• Ensure regulatory and HR documentation is complete and up to date for all contingent staff.
• Maintain accurate records of employee availability, PTO, shift preferences, and vacation requests.
• Ensure compliance with staffing-related policies, licensure standards, and regulatory requirements (TJC, ACR, CDPH).
• Collaborate with imaging leaders to support readiness for audits, inspections, and accreditation visits.
• Track and manage onboarding documentation, ISLRs, PARs, competency checklists, and employee status changes.
• Track department expenses related to staffing operations; reconcile invoices and resolve billing discrepancies.
• Support contract coordination, vendor communications, and office logistics for imaging staff.
• Maintain administrative supplies and facilitate workspace needs across sites.
• Partners with other departments (Materials Management, IT, Facilities, etc.) to support operational needs.
• Promote a positive team culture rooted in accountability, inclusion, and continuous improvement.
• Support employee development, training opportunities, and role clarity across all imaging disciplines.
• Participate in coaching conversations and provide input on performance evaluations in collaboration with modality leads and managers.
• Serve as a liaison between staff, leadership, and external partners regarding staffing decisions and operational planning.
• Draft and disseminate communications related to staffing changes, assignments, expectations, and workflow improvements.
• Prepare staffing reports, dashboards, and summary metrics for executive leadership review.
• Provide timely and effective operational support during surge events, critical staffing shortages, emergency scenarios, or high-priority incidents to maintain continuity of care and compliance with organizational standards.
• Perform administrative, coordination, and support functions as necessary to ensure consistent departmental operations, protect against workflow disruptions, and uphold service quality expectations.
• Participate in or lead departmental initiatives, process improvements, and strategic projects as assigned by the Imaging Director or Executive Leadership, ensuring alignment with system goals, regulatory requirements, and risk mitigation strategies.
• Accept additional responsibilities as necessary to fulfill operational, regulatory, or organizational obligations, with a clear commitment to maintaining accountability, responsiveness, and departmental integrity.
