About The Position

The Project Manager is the operational owner of day-to-day project delivery within our Managed Services pods. This role ensures that client work is delivered on time, on budget, and to a consistently high standard, while keeping communication clear, expectations aligned, and the team supported. You sit at the center of the pod’s workflow—connecting clients, strategists, developers, and leadership. By owning timelines, coordination, and communication, you create the structure that allows everyone else to do their best work and our clients to have an exceptional experience throughout the engagement.

Requirements

  • Proven experience as a Project Manager, Account Manager, or similar role in a digital, ecommerce, or agency environment.
  • Strong familiarity with project management tools (e.g., Asana) and time tracking tools (e.g., Harvest).
  • Experience coordinating cross-functional teams (strategy, development, design, etc.).
  • Excellent written and verbal communication skills, with a focus on clarity, structure, and follow-through.
  • Strong organizational skills and attention to detail; able to manage multiple projects and stakeholders simultaneously.
  • Comfort working in a fast-paced, client-facing environment with shifting priorities.
  • A proactive, solutions-oriented mindset—you anticipate needs, raise flags early, and help drive decisions forward.

Responsibilities

  • Manage day-to-day project delivery, including timelines, milestones, deadlines, and scope.
  • Maintain task management in Asana (or other PM tools), ensuring clear task ownership, priorities, and accountability.
  • Prepare, lead, and follow up on client meetings, including: Drafting and sharing agendas Taking and organizing notes Capturing decisions and next steps Driving follow-through on action items
  • Perform QA of deliverables before they go to the client, ensuring they meet acceptance criteria and quality standards.
  • Execute non-dev administrative or light technical tasks that keep delivery moving (e.g., configurations, documentation updates, small content changes).
  • Track time and effort in Harvest (or similar tools) to support budget management and forecasting.
  • Track and report on pod progress, risks, and blockers, keeping internal and client stakeholders aligned.
  • Collaborate with the VP/Strategist to allocate pod resources efficiently across projects and priorities.
  • Serve as a primary point of contact for clients during project execution, ensuring responsiveness and professional, timely communication.
  • Drive client satisfaction, retention, and NPS through proactive communication, reliability, and clear expectation-setting.
  • Maintain a transparent, organized, and calm client experience, even when navigating changes, risks, or delays.
  • Ensure project documentation, decisions, and updates are clear, accessible, and shared with the right people at the right time.
  • On-time, on-budget delivery of projects within your pod.
  • Effective internal process execution, ensuring work flows smoothly between strategist, developers, and clients.
  • Clarity of communication and documentation across the pod, including requirements, timelines, and status updates.
  • The overall client experience during project execution: responsiveness, organization, and transparency.
  • Risk management: identifying issues early, raising them proactively, and coordinating mitigation or escalation when needed.
