The Manager of Development Data & Operations maintains the donor database, serves as the primary liaison between Planned Parenthood of Illinois (PPIL) and Planned Parenthood Federation of America (PPFA) regarding donor database administration, enters and acknowledges gifts, reconciles monthly with finance and PPFA, and tracks and organizes Development Department goals and results. This position works under the supervision of the Director of Development.

  • Manage the donor database. Ensure its accuracy and integrity. Provide development staff with clear processes and procedures for use of the database.
  • Manage database integration and conversion projects in collaboration with PPIL partners in the Collaborative Fundraising Project (CFP). Serve on and represent PPIL interests to CFP committees as needed.
  • Manage gift processing of checks, credit cards, ACH’s, and online gifts to PPIL, Planned Parenthood Illinois Action (PPIA), PPIA PAC, PPIA IE PAC, and Planned Parenthood Illinois Votes (PPIV).
  • Ensure accurate gift and pledge entry, timely acknowledgement of all gifts, and pledge collection activities for PPIL, PPIA, PPIA PAC, PPIA IE PAC, and PPIV.
  • Ensure entry of donor preferences (mailing preferences, contact preferences, request for anonymity, etc.) in donor database.
  • Ensure accurate assignment of gifts to appropriate programs, including to PPIL gen ops, PPIL CFP, PPIL restricted programs, PPIL Campaigns, PPIA PAC, PPIA IE PAC, and PPIV.
  • Manage monthly reconciliation of gifts, pledges, and pledge payments to PPIL, PPIA, PPIA PAC, PPIA IE PAC, PPIV with finance.
  • Partner with finance colleagues to lead monthly reconciliation meetings for PPIL and PPIA, PPIA PAC, PPIA IE PAC, and PPIV.
  • Track and maintain Development Department’s monthly dashboard after monthly reconciliation with finance team. Report includes YTD progress to goals, monthly comparison, FY comparison for PPIL, PPIA, PPIA PAC, PPIA IE PAC, PPIV.
  • Manage monthly reconciliation of PPIL CFP gifts with PPFA.
  • Partner with Director of Development and finance colleagues on PPIL’s yearly audit. Partner with Director of Development, finance colleagues, and PPFA on the CFP’s yearly audit.
  • Manage and track (internal and external) Workplace Giving (WPG) contributions. Partner with Individual Giving Officer on acknowledgment letters for internal WPG program.
  • Manage event reconciliation with Development Events Manager.
  • Demonstrate an understanding of and commitment to remain informed about PPIL protocols, policies, and procedures.
  • Demonstrate an understanding of and commitment to PPIL core values of access, activism, care, confidentiality, diversity, excellence, integrity, respect, self-determination, and stewardship; practice these values in relations with internal and external customers.
  • Create, pull, and ensure clean data in mailing lists for events, newsletters, appeals as needed.
  • Pull weekly report of gifts over $1,000+ for thank you calls.
  • Process monthly board gifts and track fiscal year board giving for PPIL and PPIA boards.
  • Participate in quarterly restricted release meeting with finance and development colleagues.
  • Provide support to development and other departments in running special queries and reports.
  • Track and report progress monthly on Development Department’s Key Performance Indicators.
  • Manage matching gift requests from donors.
  • Monitor PPIL charity ratings.
  • Plan for, arrange, and supervise administrative and clerical support for development as needed, and within budget. Supervise development interns and volunteers as needed.
  • Perform other duties as assigned.
  • Bachelor’s degree or equivalent work experience required.
  • One to three years prior fundraising experience is required, as is strong working knowledge of MS Office software and fundraising database programs.
  • Extraordinary organizational and communication skills, strong writing skills, and an ability to participate in creative processes for department planning and projecting are required.
  • Ability to cultivate positive, productive relationships with donors and offer excellent customer service.
  • Research skills, including tenacity, perseverance, and a strong results-focus. Ability to work independently and as part of a team. Ability to carry out duties respecting the sensitive and confidential nature of donor related information and materials, and to demonstrate mature judgment in handling donor concerns.
