About The Position

MoMA PS1 is seeking a Development Associate to serve as a key driver of the department’s operations, donor relations, and special events. This role blends high-level administrative precision with front-facing engagement, focusing on the infrastructure necessary for developing and deepening relationships with donors and ensuring the seamless execution of fundraising events. The Associate will manage the core "engine" of the Development department—Salesforce data management and External Affairs operations—while providing critical support for the PS1 Board of Trustees, Patron Programs, and annual giving efforts. Reporting to the Director of Development, the Associate will work collaboratively with peer departments at MoMA PS1 to streamline communication and enhance the donor experience.

Requirements

  • One (1) year of work experience in development or non-profit administration, with a focus on operations or special events.
  • Proficiency in Salesforce (or equivalent CRM) and Zkipster (or equivalent RSVP software) is required.
  • Strong organizational ability and extreme attention to detail; must be comfortable managing large datasets.
  • Demonstrated interpersonal skills with the ability to work collaboratively across departments (Curatorial, Finance, Operations).
  • Exceptional judgment and discretion in handling confidential donor information.
  • Ability to work independently and manage multiple competing priorities in a fast-paced environment.
  • Ability to work evenings and weekends for events as required.
  • Passion for contemporary art and MoMA PS1’s mission.

Nice To Haves

  • Proficiency in Canva, Adobe Creative Suite, or advanced PowerPoint/Google Slides for the creation of high-end donor pitch decks.
  • Ability to speak one of the top five languages spoken in Queens, NY (Spanish, Chinese, Bengali, Korean, Russian) is an asset.

Responsibilities

  • Serve as the primary administrator for the Salesforce donor database, managing data entry and portfolio updates, and tracking moves management within the donor cultivation cycle.
  • Manage all gift processing including invoicing, receipting, acknowledgements and financial reconciliation, coordinating with MoMA’s gift processing team and MoMA PS1’s finance team.
  • Manage the end-to-end event invitation process including guest list creation, RSVP tracking, and check-in logistics.
  • Generate reports to inform departmental strategy and revenue forecasting.
  • Conduct prospect research on individual and institutional donors to expand PS1’s supporter base.
  • Support the drafting and design of solicitation materials, proposals, and donor communications.
  • Manage exhibition and program credit lines.
  • Design email newsletters for patrons and other supporters.
  • Coordinate logistics for onsite donor experiences, ensuring high-quality engagement for trustees and major donors visiting the museum.
  • Oversee Development Department expenses, budget coding.
  • Manage the Director of Development’s calendar, and Development team scheduling.
  • Support the staffing of museum events, including exhibition openings, private tours, virtual programs, and the annual gala.
  • Support the Development Department with additional tasks as needed.
