The Development Assistant for University Planned Giving at Harvard University plays a crucial role in supporting the fundraising activities of senior fundraisers within the University Planned Giving Office (UPG). This position is responsible for providing exceptional customer service to both internal and external stakeholders, including colleagues, donors, and alumni. The Development Assistant will manage incoming inquiries for the UPG office, which includes monitoring the PGO email inbox and responding to phone calls. This role also involves supporting gift officers throughout the prospect management process, which encompasses prospect outreach, lead tracking, and data entry into the alumni/donor database. The assistant will maintain calendars for gift officers, organize meetings, and take notes during these meetings to ensure effective communication and follow-up on action items. In addition to administrative support, the Development Assistant will coordinate travel arrangements and manage reimbursements and expenses in collaboration with the budget office. Proficiency in the alumni/donor database is essential for researching prospects, organizing data, and producing reports. The assistant will also prepare necessary background and solicitation materials for prospect meetings and handle follow-up tasks, including the provision of various materials and entering contact reports. The role requires a high level of professionalism, confidentiality, and the ability to interact with a diverse range of individuals. The Development Assistant will serve as a resource for colleagues and external stakeholders regarding policies and procedures, and will be responsible for managing the UPG Office Policy and Procedures Manual. This position also involves assisting with the marketing and logistics for planned giving training workshops and participating in relevant training sessions and professional development opportunities. The Development Assistant must stay informed about changes in the planned giving area and assist with special projects as needed, all while adhering to departmental and University policies and procedures.
