POSITION SUMMARY: The Development and Administrative Coordinator is a skilled, organized, and motivated individual who provides support for activities in development (fundraising/marketing/events) and administration (finance/human resources). The Development and Administrative Coordinator works within a collaborative team environment on a variety of tasks, including fundraising, sponsorships, database management, event support, basic bookkeeping, human resources, and administrative functions. This position will jointly report to the Director of Development and Outreach and the Director of Finance and Administration.

Requirements

  • Minimum of two years of related work experience with a demonstrated track record of working well in a team environment.

  • Solid organizational skills, including the ability to organize multiple project tasks, manage multiple contact lists, and ability to work independently.
  • Excellent computer skills (e.g., database, word processing, spreadsheet, Google Workspace, and Microsoft Office)
  • Knowledge and experience working with an email provider (such as Constant Contact); design software (such as Adobe or Canva); and database software.
  • Strong attention to detail and level of typing accuracy.
  • Strong verbal and written communication skills.
  • Ability to learn quickly and work well in a fast-paced team environment.
  • Motivated by the organization’s issues and a strong mission-driven work ethic.
  • Demonstrated track record of interacting and coordinating with a diverse group of individuals.

Responsibilities

  • Fundraising/Donor Relations: Assist with outreach and follow-up with donors, including event sponsors, funders, and individuals; track and update donor-tracking documents. Email and mail thank you letters to donors. Assist with fundraising appeal strategy.
  • Grant Management: Manage the grant management pipeline and assist program directors by creating project schedules, working documents, budget trackers, and other grant-related documents. Assist in submitting grant reports or applications.
  • Grant Research: Working with the Director of Development & Outreach, other appropriate staff, and the program directors, assist in researching and maintaining a list of viable foundations and corporations for new grant opportunities.
  • Event Support and Coordination: Update event planning, history, and financial documents. Coordinate with exhibitors, sponsors, and vendors, on-site event set-up (occasionally outside business hours), virtual event portals, etc. Coordinate sponsor benefits and recognition with communications colleagues. Manage the process of obtaining professional credits for applicable events and work with NJF colleagues to make credit items available.
  • Communications Materials: Assist with the preparation and review of print and digital content and update existing materials as needed.
  • Databases: Develop and maintain accurate and current databases and email lists using assorted technologies, including donor, contacts, and email management systems, as well as meeting/event platforms. Transition to a new CRM database in 2025. With the Director of Development & Outreach, ensure confidentiality of all data, contacts, and lists owned by NJF. Provide support and training to select staff within NJF on CRM tools, features, processes, and guidelines.
  • Websites: Assist with website updates as needed.
  • Research: Support in the area of fundraising, marketing, and communication as needed.
  • Meeting Attendance: Participate in regular meetings as part of the communications/development team as well as full-staff meetings and assigned work groups.
  • Financial: Enter and process donor invoices, vendor invoices, deposits, and vendor payments. Process staff expense reports. Assist in preparing 1099s. Assist in preparing and submitting reimbursements, stipend memorandums, and contracts through DocuSign to be processed.
  • Human Resources: Oversee recruitment and hiring efforts, including establishing Paycor procedures, outreach, job posting, user support, offer letter processing, compliance with regulations, and analytics. Assist with onboarding (Google Workspace training and others) as needed.
  • Recordkeeping: Record, document, and process updates to organization history, policies, and procedures.
  • Board of Trustees: Support the executive director on all aspects of board management, including scheduling, invites, logistics, materials, note-taking, on-site support, committee support and follow-ups, onboarding, and maintaining related documents.
  • Office Supplies: Maintain, organize, and order general event supplies.
