The Deputy Project Manager (DPM) supports the Project Manager in the leadership, coordination, and daily administration of all program operations. The DPM oversees staff activities related to student support and administrative processing, including account reconciliation, email and phone correspondence, record updates, verification requests, and transcript fulfillment. They help maintain and refine Standard Operating Procedures (SOPs), ensuring tasks such as managing duplicate records, validating group requests, and responding to routine inquiries are performed accurately and on schedule. The DPM also coordinates reporting efforts by collecting and analyzing operational metrics, supports the evaluation and implementation of new technologies and workflow improvements, and helps ensure compliance with data privacy and records management requirements. Acting as the alternate lead, the DPM provides direct oversight of staff, resolves issues, and maintains effective communication with stakeholders to sustain a high standard of customer service and operational excellence.

Requirements

  • Three (3) years of experience in project management or a related field.
  • Demonstrated ability to manage tasks, track progress, and handle administrative and reporting functions.
  • Strong verbal and written communication skills with the ability to interact effectively across all organizational levels.
  • Proven ability to identify issues, develop solutions, and support process improvements in a dynamic environment.
  • Proficient in Microsoft Office tools, including Word, Excel, and Outlook, with advanced data tracking and documentation capability.
  • Experience providing professional and courteous customer support via telephone, email, and web-based communications.
  • Ability to read, write, speak, and understand English fluently.
  • U.S. Citizen; Public Trust active/eligible; on-site in Emmitsburg, MD.

Responsibilities

  • Oversee day-to-day functions including task coordination, workload management, and quality control across multiple service areas.
  • Monitor project schedules, track deliverables, and ensure timely completion of assigned tasks.
  • Prepare and review operational reports, data metrics, and correspondence to maintain transparency and support informed decision-making.
  • Support SOP and work instruction development, ensuring procedures are clear, accurate, and aligned with program goals.
  • Maintain strong communication with staff and leadership, addressing questions, concerns, and performance matters promptly.
  • Assist in risk identification, issue resolution, and process improvement initiatives to sustain operational excellence.
  • Ensure compliance with all records management, security, privacy, and accessibility requirements.
  • Provide courteous and professional customer interaction through phone, email, and web communications as needed.
  • Contribute to a collaborative, results-oriented team environment focused on service quality and mission success.
  • Serve as the primary alternate to the Project Manager, assuming full leadership authority when required to ensure uninterrupted operations.
