About The Position

The Holganix team is searching for a Deputy Chief of Staff to support our Executive Office and directly enable two of our senior leaders, Tim and Barrett, to operate at their highest level. This is a high-trust, high-impact role for someone who has already built their career inside complex organizations and knows how to create clarity, momentum, and accountability around senior executives. You will formally report to our Chief of Staff, Kaity, and operate as her right hand for executive execution. Day to day, however, much of your work will be in direct service of Tim and Barrett: managing priorities, translating strategy into action, removing friction, and ensuring that important work actually moves forward. If you are energized by building systems, protecting executive focus, holding teams accountable with empathy and rigor, and operating with discretion in high-stakes environments, this role will feel like home. At Holganix, we revolutionize the way the world grows by manufacturing and distributing a liquid microbial solution (think of it as a probiotic for soil) to primarily farmers (but also landscapers, golf courses, and performance turf users) across America and Canada. Our solution dramatically increases soil health, ultimately improving crop yield and reducing the need for other inputs like fertilizer, pesticides, and water. Additionally, our solution significantly impacts carbon sequestration in the soil, allowing Holganix to help growers monetize environmental assets related to carbon sequestration, fertilizer reduction, and water attributes to corporate partners. Requirements

  • 6+ years of experience in project management, Chief of Staff, operations, or executive support roles
  • Direct experience supporting senior executives (C-suite or equivalent)
  • Strong systems thinker: able to design processes that actually get used
  • Exceptional written and verbal communication
  • High emotional intelligence
  • Proven ability to manage multiple complex priorities
  • Comfort operating with ambiguity and incomplete information
  • Impeccable discretion and judgment
  • Experience in software i.e. MS, Project Management (we use Monday.com), CRM (we use HubSpot)

Nice To Haves

  • Experience in high-growth or mission-driven companies
  • Experience supporting founders or strong-personality leaders
  • Background in organizational design, performance management, or leadership development
  • Familiarity with hybrid / remote executive teams
  • Passion for or background in sustainability, farming, gardening, or food is a plus but not required

Responsibilities

  • Act as a force multiplier for Tim and Barrett by:
  • Managing and continuously refining their priorities, goals, and commitments
  • Translating strategic objectives into clear next actions, owners, and timelines
  • Preparing information for external meetings and communications
  • Working on projects both solo and in collaboration with others
  • Preparing for key meetings, decisions, and external engagements
  • Tracking follow-through across the organization and ensuring nothing critical drops
  • Streamline tactical decisions and execution related to travel, meetings, and organizational processes.
  • Anticipating needs before they surface
  • Serve as a trusted thought partner—someone who can:
  • Pressure-test plans
  • Spot risks and bottlenecks early
  • Offer clear, grounded recommendations
  • Be thoughtful about what is a yes, a no, or a not-yet
  • Process confidential information with integrity
  • Design and run lightweight systems for:
  • Weekly priorities
  • OKRs / strategic initiatives
  • Cross-functional execution
  • Executive meeting outputs and follow-up
