Major Duties Under the general direction and guidance of the Executive Director, the Department Coordinator coordinates daily administrative operations, financial tracking, oversight of student employees, event logistics, and interdepartmental collaboration. The incumbent’s responsibilities include budget monitoring, calendar and facility coordination, front office support, marketing assistance, and comprehensive support for CEPD programs, workshops, employer engagement activities, and strategic initiatives. Provides full administrative coordination and financial/accounting tracking and office support for the operations, activities, and strategic initiatives of the Career Education and Professional Development Office in the Nazarian College of Business and Economics Provides budget administrative support by tracking and logging office expenditures of state operation expense, foundation accounts, Campus Quality Fee (CQF), and work study. Updates and maintains the office calendar, which includes class presentations, events, workshops, due dates and deadlines, and office coverage. Assist in onboarding, scheduling, training, and overseeing multiple student employees and work-study student hires. Communicates and collaborates with other CSUN Nazarian departments concerning CEPD-related assignments and class presentations. Performs other duties as assigned. Requirements

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity, exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience.
  • Demonstrated knowledge of administrative and financial support practices, including tracking and reconciling expenditures across multiple funding sources, processing purchase orders and requisitions, maintaining detailed budget logs, and ensuring accuracy in financial documentation.
  • Ability to organize competing priorities while maintaining precision and compliance with institutional procedures.
  • Strong organizational and coordination skills with the ability to maintain complex calendars, arrange facilities and event logistics, submit service requests, and support the development and execution of programs and special projects.
  • Ability to anticipate needs, ensure timely follow-through, and provide responsive support in a fast-paced academic environment.
  • Knowledge of student employment processes, including onboarding, scheduling, timesheet review, and performance documentation.
  • Ability to coordinate multiple student assistants simultaneously, track attendance, provide constructive input regarding job performance, and ensure accurate and timely payroll-related documentation.
  • Strong interpersonal and communication skills with the ability to serve as a professional first point of contact for students, faculty, employers, and guests.
  • Ability to coordinate logistics such as parking, catering, and room reservations while maintaining an organized, welcoming, and service-oriented office environment.

Nice To Haves

  • Experience working in a university setting and familiarity with PeopleSoft and with Career Center Tools, including Handshake, VMock, and uConnect, is preferred.
