About The Position

The Department Coordinator at the University of Chicago's Department of Race, Diaspora, and Indigeneity (RDI) provides specialized business support for academic, research, clinical, and administrative programs. This role is essential for ensuring effective departmental operations, supporting faculty-led committees, and coordinating various departmental activities and events. The coordinator will implement office procedures in accordance with university policies and assist in fostering a collaborative and engaging academic environment.

Requirements

  • Bachelor's degree or equivalent experience in a related field.
  • 5-7 years of work experience in a related job discipline.

Responsibilities

  • Assist the Director of Faculty and Student Affairs in general administration of the Department.
  • Provide administrative support for faculty-led committees and develop departmental rules, policies, and procedures.
  • Coordinate scheduling of departmental meetings and retreats.
  • Create and maintain an organized file/record storage protocol for efficient access.
  • Prepare agenda and materials for departmental faculty meetings in consultation with the Chair.
  • Manage departmental operations including room reservations, supply orders, and maintenance requests.
  • Process faculty leave-of-absences and coordinate office allocations.
  • Provide A/V support for instructors using the RDI seminar.
  • Use University systems to initiate financial transactions and reconcile departmental receipts.
  • Implement and manage event planning for student-facing programming.
  • Coordinate selection process for departmental student awards and process stipends.
  • Research and propose new student-facing events.
  • Prepare communications to increase awareness of the Department's academic programs.
  • Manage departmental newsletters and announcements.
  • Maintain and update departmental website and social media accounts.
  • Create and distribute flyers for departmental events and programs.
  • Maintain department's calendar and shared accounts.
  • Manage logistics for academic events such as lectures and conferences.
  • Provide day-of support for events, including set-up and clean-up.
