About The Position

The University of Rochester is seeking a dedicated individual to provide administrative and clinical support for a multi-disciplinary clinical team at the Center for Community Health & Prevention. This role involves managing multiple calendars, preparing materials for presentations, coordinating travel arrangements, and ensuring compliance with administrative protocols. The successful candidate will act as a liaison between various internal and external stakeholders, assist with manuscript preparation, and support front office activities to maximize patient access.

Requirements

  • Associate’s degree required.
  • 3 years of progressively responsible experience in administrative support required.
  • Proficiency in Outlook, MS Word, and Excel required.

Nice To Haves

  • Experience with scheduling and working in EPIC medical record.
  • Spanish language proficiency preferred.

Responsibilities

  • Manage multiple calendars for team leaders, prioritizing access and resolving scheduling conflicts.
  • Prepare materials for presentations and meetings.
  • Coordinate travel arrangements and process travel reports and requests for mileage reimbursement.
  • Keep CVs up to date according to the most recent guidelines.
  • Provide support for manuscript preparation, ensuring submission requirements are met.
  • Act as a resource for internal and external inquiries.
  • Assist staff as a liaison with internal support services and community health agencies.
  • Handle room requests and send out meeting agendas and reminders.
  • Attend and share relevant information from various administrative meetings.
  • Follow up on compliance protocol updates and assist with application upgrades.
  • Coordinate maintenance, purchasing, and other central services.
  • On-board new staff for administrative processes.
  • Manage schedules to maximize patient access and follow up on patient requests.
  • Assist with contacting and rescheduling patients for late scheduling changes.
