About The Position

The Department Coordinator enables Product senior leadership to operate efficiently and effectively by ensuring executive‑ready communications, well‑run meetings and events, and consistent operational follow‑through. The Department Coordinator 3 acts as a trusted operational partner, translating priorities into organized execution across presentations, projects, processes, and people.

Requirements

  • High School diploma or equivalent
  • In depth knowledge and use of PowerPoint
  • Significant experience as a Department Coordinator, project manager or event coordination
  • Capable of identifying and completing tasks independently with a sense of urgency and ownership
  • Excellent interpersonal skills; able to maintain solid rapport with team members as well as maintain professionalism with those outside of department
  • Excellent oral and written communications skills that demonstrate a professional demeanor and the ability to interact with others with discretion and tact
  • Keen attention to detail
  • Demonstrated success at maintaining high personal work standards
  • Demonstrated ability to handle sensitive information with discretion and tact
  • Proficient with Microsoft Windows and Microsoft Office Suite
  • Attentive to department needs as demonstrated by rapid and high-quality responsiveness to requests

Responsibilities

  • Provide PowerPoint support to the CPO Product senior leadership team – e.g. creating and formatting presentations for board reports, Hyland all hands meetings, Product department meetings, etc.
  • Support event and conference preparation for the Product attendees - e.g. CommunityLIVE, Sales Kick Offs
  • Lead small projects from planning through delivery.
  • Maintain and update communication vehicles - e.g. distribution lists, teams channels, contact lists, Hyland hub portals, etc.
  • Lead department events and meetings, managing logistics, attendance, documentation, technical operations, session recording, and follow-up communications.
  • Develop end-to-end process, procedure, or technical documents for team/department.
  • Support new employee onboarding in the Product Org by maintaining accurate onboarding data and sending timely communications
  • Support employee enablement/education – e.g. maintain Product Academy by performing quarterly reviews to ensure information is kept up to date by respective owners.
  • Support change management and communication activities for department initiatives, ensuring timely and effective information sharing and team engagement. – e.g. NPI process, product operating model (SVPG)
  • Manage complex daily department activities to maximize team efficiency and achieve team established goals
  • Manage incoming and outgoing mail, shipping and receiving
  • Maintain common spaces for appearance and functionality
  • Manage office supplies and maintenance of storage areas
  • Provide support to team members including staff travel arrangements, and expense and time tracking
  • Develop meeting agendas, schedule department meetings, document proceedings and distribute minutes
  • Liaise with other areas to resolve information or project requests by department staff
  • Coordinate budget preparation and expense management activities
  • Fulfill work requests from department staff in timely and accurate manner
  • Mentor, coach, train, and provide feedback to other team members; may provide feedback to leadership on technical abilities of team
  • Compiles and analyzes complex information and develops reports, proposals, or documents
  • Create and edit correspondence, spreadsheets and presentations
  • Actively contribute to meetings with management, staff and peers
  • Provides recommendations for department goals, policies and procedures, budgets, statistical reports, and process improvements
  • May interact with clients to obtain information, verifying schedules and for other department relevant activities
  • Assist with marketing efforts and development of client proposals
