About The Position

The Department Coordinator IV position provides administrative support to the department chair and faculty, including support of department’s academic programs and students. Composes reports, correspondence, and other materials as needed.

Requirements

Responsibilities

  • Attend department meetings and keep minutes.
  • Manage and coordinate Chair and faculty calendars and travel arrangements.
  • Coordinate meetings and special events, make arrangements for speakers, food and facilities as needed.
  • Maintain annual faculty workload records and work-assignments
  • Maintain up-to-date departmental course enrollment records and trends
  • Assist in Faculty development procedures.
  • Coordinate professional activities – national and international conferences
  • Maintenance of documentation associated with research, teaching and service activities
  • Assist in gathering data in support of departmental needs
  • Maintain records of temporary teaching staff and ensure compliance with applicable policies and procedures.
  • Coordinate activities of degree programs, including recruitment activities and plans
  • Review, process and distribute student applications, respond to inquiries and maintain correspondence with applicants and students.
  • Maintain and distribute course schedules
  • Coordinate textbook and course materials orders
  • Coordinate with Student Services in processing all student-related policies and procedures
  • Assist in compliance with program, unit, and university policies and accreditation requirements
  • Develop program related documents (brochures, flyers, handbooks, etc.)
  • Primary point of contact for students in the department from application through graduation
  • Maintain up-to-date files on current student academic progress
  • Coordinate with Student Services in processing all student-related policies and procedures
  • Make travel arrangements for students; monitor and assist faculty in the development of programs, budgets and expenses as needed.
  • Maintain records of graduate assistants and ensure compliance with applicable policies and procedures.
  • Maintain records of graduate student degree requirements and progress monitoring and advise students on university procedures and regulations
  • Coordinate and track student appointments with faculty advisors and ensure compliance with applicable policies and procedures.
  • Perform related duties as assigned.
