About The Position

Under the general supervision and reporting directly to the Chair, the position functions as the Departmental Assistant for the Department of Philosophy. The position provides the full range of complex administrative and clerical functions in support of the mission of department, assuring that all administrative requirements are completed in a timely manner. The incumbent assists with financial, programmatic and administrative support for general office operations. Projects involve a wide range of problems requiring use of reason and judgment, interpretation of policies, contact with individuals at all levels with full accountability for workflow and completion of the work assigned.

Requirements

  • Knowledge of allocation processes and payment procedures in accordance with accounting guidelines.
  • Knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling with ability to clearly communicate orally and in writing.
  • Fully functional knowledge of and skilled in all technical aspects of work assignments related to standard office procedures and practices.
  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages, including G-suite, word, excel, and adobe.
  • Knowledge of budget and accounting practices and procedures.
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
  • Excellent communication, interpersonal and problem-solving skills to serve as front-line for a variety of high-level campus and community individuals with ability to troubleshoot most office administration problems and respond to inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, review budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and/or present information, documents and correspondence.
  • Effective customer service and student relations with ability to handle interpersonal interactions at all levels and sensitive situations.
  • Ability to effectively organize and independently handle multiple work unit priorities and projects in a fast paced team-oriented environment.
  • Create, organize and maintain accurate technical, complex, and/or confidential records and files.
  • Establish and maintain cooperative working relationships and promote a positive, service oriented collegial work environment with a variety of individuals.
  • High school program, technical/vocational program, or their equivalents.
  • 3 years of related office work experience.
