About The Position

The Department Assistant will provide administrative support to department management, ensuring the smooth continuity of daily functions and operations. This role involves collaborating to present and disseminate department information, aligning with business line goals and objectives.

Requirements

  • High School Diploma/GED with a minimum of 3 years of relevant experience, or an Associate's degree with a minimum of 2 years of relevant experience, or a Bachelor's degree with a minimum of 1 year of relevant experience.
  • Event planning experience is essential (must be included on resume).
  • Advanced knowledge in Microsoft Word, Excel, Access, and PowerPoint.
  • Ability to work independently with accuracy, reliability, and problem-solving skills.
  • Excellent organizational skills, attention to detail, and verbal and written communication skills.
  • Ability to handle multiple tasks efficiently.
  • Professional and effective communication skills with all organizational levels and external parties such as clients, vendors, business partners, and community leaders.

Nice To Haves

  • Experience in administrative support, data entry, customer service, clerical work, and office support.
  • Experience with Adobe software.
  • A minimum of 2 years of office/clerical experience.

Responsibilities

  • Facilitate the dissemination of information to department and project teams.
  • Resolve questions regarding the department, researching and providing appropriate answers.
  • Prepare and present meeting notes, presentations, and tables using Excel, PowerPoint, Access, and other programs.
  • Develop procedures related to departmental and business line requirements and assist in business initiatives.
  • Monitor department deadlines and benchmarks, supporting the presentation of monthly progress reports, including tracking action items and progress updates.
  • Plan, coordinate, and facilitate on-site and off-site meetings for the department, including orientations, trainings, stakeholder meetings, management meetings, and periodic reviews.
  • Coordinate required training programs and records for department personnel in collaboration with the corporate training department to ensure compliance.
  • Assemble and analyze information involving business plans and financial reports, contributing to the final business plan submission.
  • Monitor, review, and approve standard expenditures to ensure departmental activities are within established budgets.
  • Prepare various communications, including emails, meeting agendas, and meeting minutes.
  • Handle sensitive and confidential information.
  • Coordinate department-related issues and complaints, ensuring resolution is obtained.
  • Comply with all policies and standards.
