About The Position

Position Summary: Responsible for managing the dental services for the clinic. Provide overall support in all aspects of the dental practice to maintain the continuous and timely availability of dental services to patients. DUTIES AND RESPONSIBILITIES: 1. Manages the daily operations of dental clinic and dental laboratory services for both locations. 2. Assists with the development and implementation of department strategies. 3. Performs the administrative activities, which support dental programs, including supporting annual budget preparation, strategic planning and business plan development for both locations. 4. Ensures the recruitment, retention, and training of volunteer and dental professionals is conducted. 5. Maintains close and cooperative working relationships with staff, dentist, teaching affiliations, volunteers, and patients. 6. Monitors all affiliation programs to assure educational requirements are met and remain compatible with the mission of San José Clinic. 7. Assists directors and administration to monitor and assure adherence of the Dental Clinic with all applicable Federal, State, and local statutes, codes, and ordinances, as well as all requirements necessary to maintain all forms of insurance and accreditations. 8. Ensures that staff maintains equipment in good working condition; maintains adequate dental supplies for daily use in the Clinics via in-kind donations and/or purchasing 9. Operates the dental clinic within budget parameters and provides documentation for expenditures. 10. Supports COO with administrative responsibilities, direct quality and compliance programs to monitor the delivery of dental care in accordance with accepted dental services guidelines and Catholic Moral and Ethical Directives, including maintaining continuity of care. 11. Manages processes to facilitate referrals for outside services including linkages to other dental services not provided by San José Clinic. 12. Evaluates staff regularly and maintains records of Clinical staff’s certifications and licenses, as appropriate. 13. Maintains Clinic schedules, work assignments, time sheets and approves Clinical employee time off requests. 14. Convenes regular staff meetings and other means of communications to foster employee knowledge and information including enforcement of personal policies. 15. Assists with dental service statistics and monthly reports; provides information and statistics for grant proposals reports, and ensures grant projects are carried out per grant agreements. 16. Covers for dental hygienists when they are absent or on paid time off. 17. Trains Dental Patient Access staff as needed. 18. Able to work one Saturday a month. 19. Represents the Clinic with community organizations to build mutually-beneficial relationships to enhance patient services. 20. Follows all HIPAA and OSHA guidelines and regulations, including assisting HIPAA and OSHA Officers in ensuring compliance. 21. Maintains confidentiality of patient information/records at all times 22. Maintains established San José Clinic policies, procedures, objectives, quality assurance, safety, environmental and infection control. 23. Implements job responsibilities in a manner that is consistent with the San José Clinic Mission and Code of Conduct and is supportive of San José Clinic cultural diversity objectives. 24. Performs other related work as required.

Requirements

  • Bachelor’s degree from an accredited college or university with a major in dentistry or business preferred, or comparable professional experience.
  • License or certification in dental related profession preferred.
  • Clinical background, with at least 3 years of experience in dental practice management, including at least one year managerial experience, is required.
  • Has knowledge of clinical operations and dental practice, and health care administration.
  • Demonstrates leadership skills necessary for training personnel and managing department.
  • Demonstrates excellent organizational skills, multi-tasking and effective use of time. Able to handle and complete multiple tasks or projects with multiple deadlines.
  • Ability to deal professionally, courteously and efficiently with public and all levels of the organization.
  • Ability to operate computer and copier fax.
  • Must be proficient in Microsoft Office and practice management system software applications.
  • Demonstrates effective verbal and written communication skills.
  • Demonstrates effective customer relation skills, working with diverse populations, often in stressful fast paced environments.
  • Follows all HIPAA and OSHA guidelines and regulations, including assisting HIPAA and OSHA Officers in ensuring compliance.
  • Maintains confidentiality of patient information/records at all times
