About The Position

The Dental Front Office Clerk position at Clinica Romero requires excellent customer service skills with patients, employees, and the public. The role involves offering friendly, courteous, and confidential assistance to every patient to ensure a positive experience. The clerk will assist with scheduling, patient flow, and clerical tasks while being flexible and organized to manage a demanding workload accurately. The individual must support Clinica Romero’s mission statement and comply with all policies and procedures of the organization.

Requirements

  • High school graduate or equivalent.
  • Background in Dentistry is a must.
  • Dental Billing experience/training in a medical office or similar setting.
  • Typing and computer skills; MS Excel/EPIC experience preferred.
  • Ability to communicate effectively, both verbal and written.
  • Ability to work without close supervision, detail-oriented, and well organized.
  • Ability to work in a team-oriented environment and under deadlines.
  • Previous experience in a community clinic setting, billing, and/or collections is a plus.
  • Bi-lingual in English and Spanish required.
  • Ability to handle multiple tasks and work in a busy environment.

Responsibilities

  • Welcomes and greets patients as they come into the Dental Department.
  • Assist patients with questions and direct them to proper departments or personnel.
  • Register patients for all appointments including walk-ins utilizing EMR system.
  • Obtain updates and modify patient's demographic data in person or by phone.
  • Initiate billing forms and interview patients for eligibility determination of various programs.
  • Maintain familiarity with various types of Medi-Cal, Health Plans, and other programs.
  • Verify and print eligibility for all Medi-Cal/Manage Care patients and other programs.
  • Scan pertinent patient information into EMR including patient identification cards and benefit cards.
  • Perform daily reminder calls to patients for their upcoming appointments and document calls in EMR.
  • Audit medical records for accuracy and completeness, noting deficiencies for follow-up.
  • Assist patients or family members with completion of varied registration forms.
  • Initiate new patients’ record number and chart.
  • Prepare EMR charts for clinic services one day before.
  • Utilize Microsoft Outlook for all incoming emails and respond in a timely manner.
  • Conduct daily review and respond to all incoming WELL app messages and referrals.
  • Collect co-payments, including cash, checks, and credit cards.
  • Schedule appointments according to Clinica Romero Scheduling Guidelines.
  • Adhere to Clinica Romero Petty Cash P&P and complete daily reconciliation forms.
  • Answer incoming calls, take messages, transfer calls, and provide information to other departments.
  • Assist in the completion of data for department reports.
  • Translate for patients when necessary.
  • Assist with rescheduling patients during provider call outs.
  • Assist in the training of new personnel.
  • Complete assignments by the end of the scheduled shift.
  • Seek out additional duties to promote continuity of operations.
  • Demonstrate a positive, can-do attitude in responding to employee and patients’ needs.
  • Attend In-Services and/or trainings.
  • Assure timeliness of services to patients and look after their comfort while on premises.
  • Operate standard office machines.
  • Travel from site to site and participate in the outreach program.
