About The Position

Under the supervision of the Regional Manager and Supervisors, the Dental Front Desk position serves as the first point of contact for patients and visitors, creating a welcoming and professional experience. The role is responsible for patient scheduling, registration, and overall front-office operations to ensure the smooth and efficient delivery of dental services. By accurately maintaining records, verifying insurance and eligibility, and facilitating effective communication between patients, providers, and staff, the Dental Front Desk is essential in supporting high-quality patient care, satisfaction, and clinic productivity.

Requirements

  • High School Diploma
  • Prior 1-2 years of front desk experience in a healthcare setting.
  • Must be able to perform each duty satisfactorily.
  • Outstanding oral and written communication skills, ability to work effectively with patients
  • Great Customer Service skills.
  • Experience working with EMR
  • Able to adapt to various personalities

Responsibilities

  • Greet all patients and visitors in a professional, courteous, and friendly manner.
  • Follows department protocols.
  • Verify and update patient information, including insurance details and contact information in the EMR
  • Inform patients of dental office procedures and policies.
  • Schedule, confirm, and reschedule dental appointments, ensuring efficient provider schedules.
  • Ensure that patients complete registration forms, update information annually, and verify demographics at every visit.
  • Provide clear information regarding appointment times, procedures, and requirements.
  • Maintain and manage patient records in compliance with privacy and security regulations.
  • Answer and manage all incoming calls from the dental and Vision department.
  • Answer phone calls, respond to emails, and manage inquiries about services, appointments, and billing.
  • Check daily schedule and fill in any schedule gaps due to cancellations and no-shows.
  • Schedule and confirm appointments for dental and vision departments based on provider availability.
  • Notify patients of required documents or authorizations prior to appointments.
  • Hand out patient materials, including eye glasses upon request.
  • Arrange payment schedule with patients.
  • Verify patient insurance eligibility and benefits prior to appointments
  • Apply sliding fee scale discounts and deductibles where applicable per department
  • Update patient education materials
  • Support providers and dental assistants by communicating patient needs and appointment details
  • Ensure all patient forms are scanned and attached to the Electronic Medical Record (EMR) promptly.
  • Ensure patients understand their financial responsibility before proceeding with treatments.
  • Ensure the front desk and waiting area are neat and welcoming
  • Maintain confidentiality of all patient information in compliance with HIPAA.
  • Reconcile daily transactions, process payments, and complete end-of-day reporting.
  • Collaborate with clinical staff, providers, and management to support daily operations.
  • Communicate effectively with other departments regarding patient needs or scheduling conflicts.
  • Provide cross-coverage support at both Tustin and Garden Grove locations, as assigned.
