POSITION SUMMARY: The Database Specialist supports all data management functions within the Reintegration Department and plays a key role in ensuring accurate, timely, and organized information for each individual program. This position is responsible for entering, maintaining, and monitoring participant records; developing and refining data collection methods; and ensuring that all program data aligns with departmental and federal reporting standards. The Database Specialist manually consolidates data into standardized databases, supports the service team(s) in upholding data integrity, and compiles reports as needed for program evaluation. Additionally, this role assists participant orientation and is responsible for entering new participant information into departmental systems to support efficient cohort assignments, case management and service delivery. This position will maintain some flexibility in hours, the schedule is Monday through Friday which will include some scheduled evenings and may include occasional weekends.

Requirements

  • High school diploma or equivalent AND 5 years of experience required. OR Associates degree AND 3 years of experience required. OR Bachelor’s degree AND 1 year experience required.
  • Experience in social service programming, working with nFORM or other federal case management and/or data collection software
  • Combination of experience in database development, database management, and building functional spreadsheets
  • Qualified candidates must have a valid driver's license and reliable transportation for local travel.
  • Candidates are expected to provide current, valid clearances (Child Abuse Clearance, FBI Fingerprints Clearance, and PATCH) prior to their first day of employment.

Responsibilities

  • Monitor funder communications and serve as the primary liaison for the department’s data functions, participating in relevant agency, departmental, and funder meetings, projects, and feedback sessions.
  • Resolve issues of missing information and make recommendations for improvement to program management, when necessary
  • Protect all confidential information in accordance with organizational policies, federal privacy requirements, and industry best practices. Notify appropriate parties when breaches or concerns arise
  • Partner and support the team to administer and collect survey responses, in person and virtually based on cohort structure.
  • Input and maintain incoming participant profiles into database(s) including all information related to participant enrollment activity
  • Support the functionality of data collection methods and ensure validity and accuracy of collection is maintained by team members; train staff when necessary.
