The Database Manager is an experienced constituent relationship management (CRM) professional who cares deeply about reproductive justice. The Database Manager will manage the various databases (currently AirTable for programs and Every Action for development, advocacy and communications), ensure data accuracy and integrity, run progress-to-goal reports, activity reports, and other regular reports. They will collaborate with the Database Consultant to ramp up our ability to track and analyze data and will work extensively with program, advocacy, communications and development staff to ensure that all data needs are managed, prioritized, and supported. Given the Database Manager is a new role at CAF, and beginning during a time of rapid growth and transition for the organization, it is intended that this role will grow into the outlined essential job functions.

  • Develop, schedule, and run customized reports using Airtable automations and interfaces
  • Clean, update, and import relevant grantee and financial data from external sources into Airtable database
  • Respond to emergent data needs of advocacy, communications, research, programs and development teams
  • Maintain a high level of data hygiene across all databases and data management tools
  • Define and maintain standard operating procedures for recurrent data management tasks including but not limited to the creation and analysis of reports, import and export of data, data retention, and de-identification of grantee data
  • Provide training to other staff and write documentation on key database functionalities
  • Serve as primary liaison to account managers
  • Maintain users and security, manage licensing information
  • Support the team to implement solutions to EveryAction database issues that arise
  • Supply finance team with relevant data from EveryAction for accounting purposes
  • Reconcile gift information in EveryAction with the finance department on a regular basis as determined by supervisor
  • Maintain knowledge of emerging fundraising technologies
  • Remain familiar with key software packages for the EveryAction database, prospect research, and online giving and interacting with vendors to provide support for the Development staff
  • Conduct and build out sophisticated queries/reports and create financial dashboards to track development team fundraising performance to goals
  • Provide and build out financial reports for leadership staff as requested
  • Support Development Manager with bulk uploads, coding, and database hygiene
  • Work with development, advocacy, and programs teams to establish and integrate data best practices into every applicable aspect of constituent engagement efforts
  • Lead cross-department strategic planning processes to identify opportunities, set data acquisition and collection standards, and strengthen data infrastructure and integrity
  • Work with other staff to create and maintain data project plans, timelines, and deliverables
  • Serve as the point person for the integration of any database into the organization
  • Keep up with product release notes and trainings associated with CAF database tools and incorporate updates into CAF database policies and procedures
  • Serve as the primary liaison with database consultants and vendor customer support
  • Actively participate in required CAF meetings and respond in a timely manner to CAF staff communications
  • When required, participate in reproductive justice movement-building initiatives
  • Participate in and support an organizational culture that fosters deep collaboration, trust, and coordination across functional areas
  • Perform other duties as assigned by the supervisor
  • Commitment to reproductive justice and abortion access for all people
  • Knowledge of intersectionality and the impact that privilege and oppression can have on people’s ability to access abortion
  • Four years of experience as a database manager in roles across fast-paced settings – including advocacy organizations, political campaigns, creative agencies, legislative and/or non-profit environments
  • Administrator-level expertise in EveryAction database preferred
  • Database Creator-level experience in Air Table preferred
  • Demonstrated excellence in training and support of data management, database administration, reporting and analysis, and common digital organizing tools
  • Excellent written and verbal communications skills, including the ability to translate technical instructions into easy-to-follow communications for non-technical audiences
  • Understands system architecture and is highly systems oriented
  • Experience maintaining accurate records
  • Ability to create and generate complex reports
  • Understanding of fundraising activities and strategies
  • Experience handling sensitive and confidential information with appropriate levels of discretion
  • Demonstrate proficiency in Google Suite; Zoom; Slack; and CRM databases
  • Outstanding analytical, project management, and problem-solving skills
  • Strong organizational skills, attention to detail, ability to multitask and prioritize in a fast-paced environment
  • Excellent administrative skills including organization, phone and email etiquette and culturally sensitive customer service skills
  • Enjoys taking ownership of projects from start to finish
  • Self-motivated, resourceful, adaptive, responsive, and able to make strategic decisions
  • Ability to work equally well independently and as part of a collaborative team
