About The Position

The Data & Systems Analyst compiles, analyzes, and transforms complex data into actionable intelligence, ensuring accurate, timely, and reliable information across all schools and departments. This role executes critical daily data workflows, automates business processes, and resolves issues promptly. The position works closely with Admissions, the Business Office, Development, Academic Leadership, and Technology Services to ensure data accuracy, consistency, and availability across all platforms, while promoting Technology Services and the Christian Academy School System.

  • Experience working with data systems, databases, or student information systems
  • Strong analytical, organizational, and problem-solving skills
  • Ability to manage recurring operational tasks reliably and accurately
  • Ability to present information in clear, concise, user-friendly formats
  • Strong communication and customer-service skills
  • Ability to find an answer when it is not immediately obvious

Responsibilities

  • Manage daily data workflows, including enrollment, withdrawals, student status updates, and class list maintenance
  • Maintain and administer the student information system (FACTS), including user accounts, security groups, and configurations
  • Ensure accuracy, integrity, and consistency of student, staff, and family data across systems
  • Perform regular audits and validations to identify and correct data discrepancies
  • Support admissions processes, including application tracking, enrollment processing, and communications
  • Generate and maintain daily, weekly, and monthly admissions and reenrollment reports
  • Build and maintain web forms supporting applications, registration, and school programs
  • Coordinate data needs for open houses, testing events, and enrollment campaigns
  • Translate complex data into clear reports, dashboards, and visualization.
  • Identify trends and patterns to support decision-making and strategic planning
  • Maintain standardized reporting processes to ensure consistency and reliability
  • Manage data integrations with external platforms (e.g., Naviance, ParentPulse, Rave)
  • Ensure timely and accurate data submissions for compliance and reporting requirements
  • Maintain and troubleshoot automated processes supporting schools and departments
  • Collaborate with vendors and internal teams to resolve integration issues
  • Execute time-sensitive processes aligned with the academic and admissions calendar
  • Support annual cycles, including re-enrollment and start- and end-of-year processes
  • Ensure all required reports and data submissions are completed accurately and on schedule
  • Generate communications tied to data events (e.g., enrollment updates, reports)
  • Partner with others to ensure accurate and timely communication with stakeholders
  • Provide support for data-related requests and system issues
  • Manage customer expectations throughout the lifecycle of requests and incidents
  • Follow escalation procedures and assist with root-cause analysis when issues arise
  • Engage vendors or external partners as appropriate to resolve system issues
  • Assist with documentation and continuous improvement of processes and procedures
  • Ability to maintain confidentiality in all aspects of the position
  • Ability to (independently) manage multiple recurring and deadline-driven tasks
  • Ability to work a flexible schedule, including summers and occasional evenings/weekends
  • Ability and willingness to participate in a 24/7 on-call rotation (about 1–2 weeks per month)
  • Ability to travel as needed between campus locations
