About The Position

The Data Quality Specialist at New Narrative plays a crucial role in promoting and supporting the quality of services within the organization. This position involves key administrative tasks related to Supportive Housing Services (SHS), focusing on high-quality data entry, database coordination, and compliance with various standards. The specialist will evaluate data quality in the HMIS database system, ensure consumer satisfaction, and support contract compliance for Washington County and Multnomah County programs. Collaboration with staff and leadership is essential for managing ad hoc projects and maintaining high standards of data integrity and reporting.

Requirements

  • 2 years minimum of providing administrative support within a healthcare environment.
  • Experience working in HMIS or Credible and experience in HIPAA compliance a plus.

Responsibilities

  • Serve as the SHS departments expert in HMIS, Credible, and all databases.
  • Support the SHS team in building out workflows, understanding contract expectations, and meeting compliance standards.
  • Ensure data quality, accuracy, integrity, and compliance with local, state, and federal standards while meeting internal/external requirements.
  • Provide ongoing support, training, and troubleshooting for staff on the use of HMIS.
  • Work closely with the SHS team, Property Management and other NN programs to address HMIS-related needs.
  • Collaborate with the SHS staff, program managers, finance, development, and leadership to support and maintain contract expectations.
  • Act as the liaison for SHS reports, collaborating with program managers, staff, and leadership to produce timely and accurate reports.
  • Lead and coordinate the submission of all SHS reports, including annual reports and audits, working with leadership and relevant staff.
  • Serve as the primary point of contact for data and reporting-related audits and reviews.
  • Ensure all staff are up to date on HMIS and PowerDMS trainings, as well as proficient in using the Credible database.
  • Support the Quality and Impact department in data quality improvement initiatives, including identifying gaps, coordinating training, addressing grievances, and supporting contract deliverables.
  • Regularly review and update training materials and conduct refresher courses as needed.
  • Work with teams to troubleshoot and resolve data and reporting issues promptly.
  • Develop, maintain, and ensure consistency across program manuals, aligning with best practices and compliance requirements.
  • Coordinate with SHS program teams to establish standardized procedures and workflows that align with contract deliverables and accountability measures.
  • Conduct regular reviews of program manuals and standard operating procedures to ensure they are up-to-date and compliant with internal policies and external regulations.
  • Maintain a tracking system for contract requirements and deliverables, ensuring timely submission and adherence to contractual obligations.
  • Support leadership in preparing documentation for audits and compliance reviews, maintaining organized and accessible records for quick reference.
  • Establish and oversee a centralized system for updates and changes in program policies, ensuring transparency and consistency across.
