About The Position

The Data Entry Specialist position supports the Orders Intake team within the Texas Records Retrieval division. The primary focus of this role is quality control, including detailed review and validation of data entered by a third-party vendor, as well as comprehensive quality checks on all case data prior to handoff to the next stage. This role is responsible for ensuring accuracy, completeness, and compliance with internal standards and key-set requirements before work progresses to the next stage. Direct data entry is limited to rush or exception-based work, as standard data entry functions are outsourced. The position requires strong attention to detail, independent judgment, time management, and effective communication.

Responsibilities

  • Perform detailed quality control reviews of third-party vendor data entry to ensure accuracy, completeness, and compliance with internal standards and key-set requirements.
  • Conduct comprehensive quality checks on all case/order data prior to passing work to the next stage of processing.
  • Identify data discrepancies, errors, or omissions and take corrective action or escalate as appropriate.
  • Perform direct data entry for rush or exception-based orders to meet expedited turnaround requirements.
  • Ensure rush orders meet departmental turnaround expectations and quality standards.
  • Follow established procedures for system notation, documentation, and email handling for all reviewed orders.
  • Verify and confirm entered data in the MR8 database in accordance with order-specific procedures and client preferences.
  • Accurately update tracking tools and spreadsheets (including Quantum) to reflect order and quality review status.
  • Prioritize daily workload based on rush status, order dates, and operational needs.
  • Communicate proactively with team members and management regarding workload, quality findings, and potential delays.
  • Maintain organized and efficient email management to support timely processing and handoffs.
  • Exercise independent judgment in identifying quality risks and determining appropriate next steps.
  • Self-report capacity or quality concerns that may impact deadlines or downstream processing.
