General Summary: The Data Entry Specialist supports the Office Manager by performing various tasks in supporting the Property Management team. The Data Entry Specialist will accurately enter, update, and maintain tenant, unit, and vendor information across property management systems. This position ensures timely and accurate data capture for expenses, leases, applications, work orders, billing, and reporting functions. The role requires strong attention to detail, data accuracy, and the ability to manage confidential information.

Requirements

  • Minimum Education Required: HS Diploma or Equivalent
  • Minimum Experience Required: A minimum of three (3) years’ experience in data entry.
  • Minimum 18 years of age.
  • Valid AZ DPS Level I fingerprint clearance card (must maintain valid card throughout employment)
  • Current, valid Driver’s License and 39-month Motor Vehicle Report and proof of vehicle registration liability insurance to meet insurance requirements
  • Initial current negative TB test result, if required (Employer provides).

Responsibilities

  • Enter and update tenant information (applications, leases, renewals, move-in/move-out data, demographic fields, supporting documents).
  • Maintain accurate records related to unit status, vacancies, rent rolls, waiting lists, and occupancy.
  • Process and enter work orders, maintenance requests, and vendor invoices into designated systems.
  • Upload and organize scanned documentation such as leases, notices, compliance documents, and correspondence.
  • Validate data for accuracy, completeness, and alignment with program or compliance requirements.
  • Assist with generating reports related to occupancy, maintenance, billing, compliance, and financial tracking.
  • Collaborate with Property Management, Accounting, and Maintenance teams to resolve missing or incomplete data.
  • Perform routine audits to ensure data integrity and identify discrepancies.
  • Provide administrative support including document preparation, scanning, and system updates.
  • Protect confidential information in accordance with organizational privacy policies and applicable regulations.
  • Performs other duties as assigned or necessary as they relate to the general nature of position.
