The Data Entry Specialist is responsible for supporting all phases of data gathering and reporting for the WIOA Program at DESC Service Centers. This part-time role involves data entry, tracking performance statistics, maintaining records, processing payment requests, and providing administrative support to program staff. The position requires attention to detail and adherence to federal, state, and local regulations.

  • Assist with recording, routing, and tracking invoices received for payment from vendors.
  • Process approvable invoices to the Program Manager within established timelines and procedures.
  • Check invoices against contract amounts and accurately record costs for individual accounts in spreadsheets and/or databases.
  • Reconcile expenditures and report discrepancies found in records.
  • Calculate, tabulate, and verify financial information and data for individual accounts.
  • Produce routine financial reports within specified timelines for applicable staff and management.
  • Maintain data systems including WIOA, ES, and TAA program customer files and employer records.
  • Ensure records are processed in accordance with program procedures and meet applicable regulations.
  • Assist with procuring supplies, equipment, and services for equipment repair.
  • Execute mass mailings, including routine post program follow-up and outreach correspondence.
  • Gather, verify, and prepare purchase orders, contracts, and training agreements for Management approval.
  • Generate routine and specialized reports and queries from the OS MIS or Launchpad systems as needed.
  • Assist with special projects and coordinate data with DESC Center programs.
  • Organize, track, and maintain a smooth flow of customer data into and out of DESC service centers.
  • Assist staff in creating forms, promotional material, and announcements.
  • Perform outreach calls and respond to callers to schedule appointments or conduct follow-up contact.
  • Provide support to teams in completing supportive service requests.
  • Associate Degree
  • Two years of experience in supporting the management of data including expenditures, accounts payable/receivable, and customer database software operations.
  • Expert level knowledge of Microsoft software, especially Excel and ACCESS database operations.
  • Knowledge of arithmetic and accounting principles.
  • Strong organizational and problem-solving skills.
  • Excellent written communication skills.
  • Knowledge of the State OS MIS System.
  • Familiarity with Michigan Talent Connect and Internet resources related to employment and training programs.
