Role: Data Entry Specialist - Customer Service Reports to: Customer Service Manager FLSA: Non-Exempt Location: El Cajon, CA Why this role is important at Genesee Scientific? The Data Entry Specialist is an important member of the Customer Service team. This role ensures high-volume customer orders and related system updates are entered accurately and efficiently, supporting consistent and reliable customer experience. With a primary focus on transactional accuracy and data integrity, the Data Entry Specialist helps maintain clean, dependable system records that support smooth order processing. This role also provides backup support to the Customer Service team as needed.

Requirements

  • High School diploma or GED required; associate or bachelor’s degree preferred or equivalent work experience
  • 1+ years of experience in data entry, order processing, or administrative support roles
  • Demonstrated accuracy and attention to detail in high-volume environments
  • Experience working in ERP and/or CRM systems (Sage100, Salesforce a plus)
  • Ability to navigate multiple systems and monitors
  • Desire to work as part of a team, but also able to work independently, pay attention to details and solve problems quickly
  • Basic proficiency in Microsoft Office Suite applications, including Teams preferred
  • Thrives in a fast-paced, collaborative environment. Works efficiently within deadlines
  • Primarily sedentary work on a computer in a climate-controlled office environment
  • Regularly sit for extended periods, with occasional standing, walking, and lifting of up to 10 pounds
  • May use a headset when providing backup customer support

Responsibilities

  • Enter and manage customer orders accurately in ERP and CRM systems
  • Process orders from multiple portals with strong attention to detail
  • Review orders for completeness, correct pricing, shipping instructions, and special requirements
  • Maintain accurate customer and system data
  • Monitor order queues to ensure timely processing
  • Identify and escalate discrepancies to prevent fulfillment issues
  • Follow internal controls and company procedures
  • Provide cross-functional support to Customer Service team members during peak periods to ensure a seamless customer experience
  • Respond to routine customer inquiries via email or phone with professionalism and urgency
  • Partner closely with Sales, Operations, and Finance to clarify order details, resolve data discrepancies, and support on-time, accurate fulfillment
  • Contribute to process improvement efforts by identifying opportunities to enhance order accuracy, efficiency, and overall customer satisfaction
